Purpose of role</h2>

Serve as a welcoming and reliable point of contact for the office, working collaboratively as part of a global, multidisciplinary workplace management team to deliver a seamless and positive experience for colleagues and clients alike.

Specific responsibilities

Reception and Office Services
<ul>
<li>Welcome clients and visitors, ensuring a professional and high-quality guest experience.</li>
<li>Coordinate hospitality, catering, and meeting room setup for external meetings.</li>
<li>Support basic VC/AV setup for client meetings as needed.</li>
<li>Manage office supplies, including post, print, and stationery.</li>
<li>Maintain catering supplies for tea points, meetings, and events.</li>
<li>Handle switchboard calls, directing enquiries appropriately.</li>
<li>Support the CRES Manager with access pass issuance and related reconciliations in line with agreed processes.</li>
<li>Help coordinate and oversee third-party contractors &mdash; including cleaning, catering, pest control, landscaping, waste management, office maintenance, and access control &mdash; liaising with building management as required.</li>
<li>Receive and distribute incoming and outgoing mail.</li>
<li>Provide general support to the CRES Manager in the day-to-day running of the office.</li>
</ul>
Health &amp; Safety
<ul>
<li>Support the CRES Manager in maintaining a safe working environment, including carrying out routine checks.</li>
<li>Maintain accurate records for first aiders, fire wardens, and PEEPs.</li>
<li>Ensure first aid boxes are accessible, visible, and regularly stocked.</li>
<li>Assist with compliance on fire evacuation procedures and local regulations.</li>
<li>Support the reporting process for accidents, incidents, and near misses.</li>
<li>Maintain a log of all personal DSE equipment issued to staff.</li>
</ul>
Moves &amp; Changes
<ul>
<li>Support the CRES Manager with desk moves, changes, and related logistics.</li>
<li>Assist with ad hoc requirements such as desk booking, locker allocations, and artwork.</li>
</ul>
Event Management
<ul>
<li>Help coordinate office events, including seasonal gatherings such as summer and winter parties.</li>
<li>Support d&eacute;cor and theming for relevant initiatives (e.g. Pride), aligning with global offices where appropriate.</li>

Financial
<ul>
<li>Raise and/or approve purchase orders.</li>
<li>File quotes and supporting documentation accurately within the relevant shared folders.</li>
<li>Maintain data logs and records as required.</li>

Administration &amp; Communications

<li>Communicate office and CRES updates via email, Slack, and other channels as needed.</li>

Technical Competencies

Minimum Qualifications: 
To qualify you must have a Patient Care Technician Minimum Qualifications: High School graduate or equivalent required. Graduate of a PCT program w/ at least 6 months hospital experience OR CNA graduate plus course completion in EKG &amp; Phlebotomy and PCT certification eligible plus at least 6 months hospital experience, OR PCT Certification through National Healthcareer Association (NHA) w/ at least 6 months hospital experience. BLS or Heartsaver CPR/AED certification. (Issued by the American Heart Association-AHA) OR Heartsaver CPR/AED certification (Issued by the American Heart Association-AHA) is required upon entry to the position Must complete PCT online program within 3 months of hire. 
Senior Nursing Attendant Minimum Qualifications: High School Diploma or equivalent Required. Graduate of Certified Nursing Attendant Program, certified as a CNA and at least 6 months relevant experience. BLS or Heartsaver CPR/AED certification (Issued by the American Heart Association-AHA) is required upon entry to the position. Position Description

Summary: Makes and serves coffee/espresso drinks and related food and beverage items. Handles food according to HACCP guidelines and standards for quality food-service operations. Interacts with customers and other employees in a friendly, courteous manner.
 
 
Essential Duties and Responsibilities:
<ul><li>Prepares espresso orders for customers and catering using standard measures and recipes.
</li><li>Enters orders accurately into POS device; accepts cash and charge payments.
</li><li>Replenishes condiments, beverages and general supplies while maintaining cleanliness of service area.
</li><li>Ensures proper presentation, portion control and maintenance of proper serving temperatures; follows HACCP standards.
</li><li>Maintains sanitation and orderliness of all equipment, supplies and utensils.
</li><li>Ensures proper food preparation by using approved recipes and following prescribed production standards.
</li><li>Keeps display equipment clean and free of debris during meal service.
</li><li>Cleans equipment and workstation thoroughly before leaving the area for other assignments.
</li><li>Greets customers courteously and interacts in a manner to ensure customer satisfaction. Relays relevant concerns from customers to supervisors.
</li><li>Serves customers quickly and efficiently, and prevents delays in serving lines.
</li><li>Demonstrates a complete understanding of daily menu items and accurately explains them to customers.
</li><li>Serves as an advocate of selling techniques to the customer by establishing good communication and assisting in the buying decision-making process.
</li><li>Ensures all display foods are merchandised attractively per standards. Serves food neatly and attractively per standard.

 Executive Assistant
 
 to support a dynamic team of professionals, including Managing Directors, Vice Presidents, and Associates. This individual will serve as a true partner, building strong relationships grounded in trust, discretion, and exceptional execution. The EA will manage calendars, coordinate travel, process expenses, and handle a variety of ad hoc administrative and operational responsibilities in a fast-paced environment.
 
 
 Hours are 8:45/9-5:45/6pm, requiring Monday-Thursday on-site with Fridays remote.
 
 
 
 Key Responsibilities:

 Supporting team members in New York City: (2) MDs and (5-6) Team members varying from VP and Associate level

 Adaptability to support more professionals if the team expands
 </li>

 Manage phones / messages (a professional point of contact to clients/investors)

 Heavy scheduling / calendar management
 </li>
 <li>
 Booking travel (coordinating with travel agency) - domestic and international travel

 Handle expenses - process in a timely manner in accordance with company policy via Concur

 Working with Receptionist to order/coordinate catering for in office meetings when needed

 Assist with restaurant reservations for business meetings when needed

 3+ years' administrative assistant experience (in the financial industry ideal)

 Exceptional communication skills both oral and written

 Strong experience in Microsoft Office (particularly Outlook)
