Summary

As an Office Specialist, you will provide essential administrative support to the assigned program or department. You will greet and assist clients and visitors, determine the purpose of their visit, and connect them with the appropriate staff in a professional and welcoming manner. In this role, you will maintain health records in accordance with federal and state guidelines and the agency&rsquo;s policies and procedures to ensure compliance. You will also deliver professional customer service to clinical and administrative staff, clients, visitors, and vendors.

Primary Duties

<li>Provides reception services, greets visitors, ascertains nature of business, signs-in visitors and directs visitors to appropriate person, issues visitor&rsquo;s identification when required.</li>
<li>Operates telephone console to receive incoming calls; provides information to caller or routes caller to appropriate staff; places outgoing phone calls as needed.</li>
<li>Records accurate phone messages including name, time of call, nature of business and person called upon and delivers (via voicemail, email, etc.) to the appropriate party.</li>

<div></div><div><div>The Department of Unemployment Assistance (DUA) administers the unemployment Insurance (UI) program which provides temporary income assistance to Massachusetts workers who are unemployed through no fault of their own and who are able to work, available for work, and looking for work and looking for a job. The appeals process for unemployment issues is governed by Massachusetts General Laws, Chapter 151A. For claimants or employers who receive unfavorable determinations, the Hearings Department is the first level of appeal. The Hearings Department conducts hearings virtually, telephonically, and in person at various locations throughout the state.
The Office Support Specialist performs administrative support functions such as preparing and analyzing correspondence, reports and other materials as needed; scanning, uploading and indexing documents into an online system. Job Duties:
<ul><li>Provide clerical/technical support as needed to personnel, maintain confidential files, and maintain and project files.

Requirements/Qualifications:
Minimum Qualifications : Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Preferred Qualifications: Experience reading maps for incident detours and experience with permit routing. Experience preparing correspondence. Experience in accounting and using an electronic payroll system. Familiarity with highway maintenance and construction activities. Experience working with the public. Experience using MS Word, Excel, PowerPoint, and Outlook.
Other: Must have a valid driver's license or ability to provide independent authorized transportation. Regular and reliable attendance is also required. Must be able to work from 8:00 a.m. to 5:00 p.m. with an hour lunch.
