Position Overview: We are seeking a motivated and detail-oriented Assistant Property Manager to join our team. The Assistant Property Manager will work closely with a Property Manager to oversee the day-to-day operations of the commercial properties within a designated portfolio. This role requires a proactive individual with excellent communication skills and an understanding of property management principles. Training will be provided in each of the following areas of responsibility.
Key Responsibilities:<ul><li>
Tenant Relations:</li></ul><ul><li>
Serve as a point of contact for tenants to address inquiries, concerns, and requests in a timely and professional manner.</li><li>
Conduct regular property inspections to ensure tenant satisfaction and identify any maintenance or repair needs.</li><li>
Property Maintenance:</li></ul><ul><li>
Coordinate with contractors to schedule and oversee routine maintenance and repairs. Follow up to ensure the work was completed to company standards.</li><li>
Monitor property systems and equipment to ensure optimal functionality and compliance with safety regulations.</li><li>
Assist in the Response to emergencies and implement appropriate solutions to minimize disruption to tenants and operations.</li><li>
Financial Management:</li></ul><ul><li>
Assist in the preparation and review of annual operating budgets, monthly financial reports and CAM reconciliations.</li><li>
Review and approve invoices, reconcile accounts, and track expenses against budgeted projections.</li><li>
Work closely with accounting team to ensure accurate and timely billing and rent collection.</li><li>
Lease Administration:</li></ul><ul><li>
Review and update lease files and databases, ensuring accuracy and completeness of documentation.</li><li>
Monitor lease expirations and proactively work to renew or re-lease vacant spaces.</li><li>
Administrative Support:</li></ul><ul><li>
Provide administrative support to the Property Manager, including scheduling appointments, preparing correspondence, and organizing meetings.</li><li>
Maintain accurate records and files, both electronic and hard copy, related to property management activities.</li><li>
Assist in the preparation of reports, presentations, and other documents as needed.</li></ul>
Qualifications:<ul><li>
Bachelor's degree in Business Administration, Real Estate, or related field preferred.</li><li>
California Department of Real Estate License Required</li><li>
2+ years of experience in commercial property management or related field is preferred.</li><li>
Knowledge of commercial real estate principles, leasing practices, and landlord-tenant law preferred.</li><li>
Excellent interpersonal and communication skills, with the ability to interact effectively with tenants, vendors, and internal stakeholders.</li><li>
Proficiency in Microsoft Office Suite and property management software (e.g. Rent Manager, Yardi, MRI, etc.).</li><li>
Detail-oriented with strong organizational and multitasking abilities.</li><li>
Ability to work independently and collaboratively in a fast-paced environment.</li></ul>
