MAJOR DUTIES AND RESPONSIBILITIES</h1><h3 class="jobSectionHeader">
1. Hospitality &amp; Front Desk Operations</h3><ul><li>
Provide exceptionally hospitable and welcoming presence for all parish visitors, connecting them to appropriate staff and resources</li><li>
Answer telephone calls professionally and ensure accurate and prompt transmission of messages</li><li>
Greet visitors warmly, provides assistance, and make appropriate referrals to parish staff and ministries</li><li>
Accept fees, deposits, and donations for any ministry; issue receipts for cash and ensure timely processing</li><li>
Pickup mail from Post Office and delivers to staff mailboxes. Delivers mail to Post office at end of the day. Manages annual PO Box subscription
</li><li>Provide support for administrative requests submitted through AdminDesk system</li><li>
Prepares checks for mailing and files supporting documents for bookkeeper.
</li><li>Records anointing of the sick visits for Priest</li><li>
Creates check request for vendors for admin, this includes, but is not limited to Capital Business Machine, CSC, Leaf, Office Depot, Postage Machine, etc</li><li>
Coordinates with weekend receptionist by provide relevant, updated information each week.
</li></ul><h3 class="jobSectionHeader">2. Communications &amp; Scheduling</h3><ul><li>
Oversee and maintain the parish phone voicemail system, keeping it up-to-date</li><li>
Provide assistance to parishioners with Mass requests and cards; maintain Mass Intentions schedule</li><li>
Prepare and distribute staff lists and schedules, including break room cleaning schedule and contact information</li></ul><h3 class="jobSectionHeader">
3. Office Operations &amp; Security</h3><ul><li>
Ensure parish office is securely closed each evening by transferring voicemail to automatic pick-up, securing windows and doors, and turning off appropriate lights</li><li>
Coordinate use of keys for parish facilities and laptop checkout as directed</li><li>
Monitor and track the front office drop-off and pick-up drawer</li></ul><h3 class="jobSectionHeader">
4. Office Supply &amp; Equipment Management</h3><ul><li>
Order office supplies for staff through approved vendors (Office Depot, Amazon, etc.)</li><li>
Match packing/delivery slips with invoices and prepare check requests for all items ordered</li><li>
Process Amazon orders from staff and provide documentation for bookkeeping</li><li>
Ensure office machines are maintained; monitor and track maintenance schedules and submit check requests for billings</li><li>
Monitor parish postal machine account to ensure adequate balances are maintained; submit necessary paperwork for refills in a timely manner</li></ul><h3 class="jobSectionHeader">
5. Volunteer Coordination</h3><ul><li>
Coordinate and schedule volunteers as needed for parish office projects</li><li>
Recruit, train, and supports office volunteers</li></ul><h3 class="jobSectionHeader">
6. Staff Collaboration &amp; Professional Development</h3><ul><li>
Support both team and thematic goals established by parish leadership</li><li>
Attend and participate in Team and Staff meetings</li><li>
Maintain current knowledge and skills required to function as Receptionist through reading, training opportunities, or workshops as approved</li><li>
Collaborate with Pastor and parish leadership in implementing the mission of the parish</li><li>

Required<ul><li>
Experience in reception, front desk or customer service related work.</li><li>
Excellent verbal and written communication skills. Warm, welcoming, and professional phone and in-person demeanor. Ability to handle sensitive or confidential information with discretion.</li><li>
Experience operating multi-line phone systems, including answering, screening, and transferring calls efficiently.
</li><li>Proficiency with Microsoft Office (Word, Outlook, Excel) and general office equipment (copier, scanner, fax).</li><li>
Proficiency with Google suite
</li><li>Basic data entry skills with attention to accuracy.</li></ul>
Preferred<ul><li>
Experience in a Catholic parish, Catholic school, nonprofit, or faith-based organization.</li><li>
