Ensure proper approval by the responsible Director has been obtained.</li><li>Enter vendor invoices into the accounting system.</li><li>Process weekly check runs.</li><li>Prepare monthly gas tax refund returns.</li><li>Reconcile vendor statements.</li><li>Set up new vendors in the accounting system, request Form W-9 from new vendor and provide Form ST3, Certificate of Exemption, to new vendor.</li><li>Annually prepare Form 1099s for vendors, mail Form 1099s to vendors, and prepare and submit Form 1096 to the IRS.</li><li>Maintain the accounts payable records in the accounting system.</li><li>Identify and propose improvements to accounts payable processes and systems.</li></ul>Accounts Receivable Duties:<ul><li>Prepare accounts receivable invoices in the accounting system and send to customers.</li><li>Record accounts receivable cash receipts in the accounting system from the report provided by the Payroll Specialist weekly.</li><li>Monitor the Accounts Receivable Aging and follow up on past due invoices with customers.</li><li>Reconcile to the General Ledger monthly.</li><li>Maintain the accounts receivable records in the accounting system.</li><li>Identify and propose improvements to accounts receivable processes and systems.</li></ul>Accounting, Reporting and Other Functions:<ul><li>Provide accurate, timely financial information upon request.</li><li>Compile data for administrative, fiscal, questionnaires, budgeting and other purposes.</li><li>Provide information/perform other duties for the external audit.</li><li>Identify and propose improvements to processes and systems.</li></ul>The performance of the major job functions for this position requires the incumbent to be present at their work setting. Regular, dependable attendance is necessary for the performance of the job duties. Completion of all work in a professional, accurate and timely manner is required.The first two weeks will be roughly 32 hours per week for training, followed by a somewhat flexible in-office schedule Monday-Friday, which could be anywhere from 20-32 hours depending on your availability and our workload.
