Position SummaryThe Dispatch Clerk plays a critical role in supporting daily dispatch operations by ensuring accurate load management, timely communication with drivers and customers, and maintaining operational systems. This position is responsible for monitoring reports, updating systems, coordinating with dispatchers and customers, and ensuring all transportation activities are documented and executed efficiently.Key ResponsibilitiesLoad &amp; Operations Support<ul><li>Serve as a primary point of contact for drivers, handling incoming calls, messages, and workflow issues.</li><li>Assist drivers with data entry, including loading/offloading information when needed.</li><li>Handle driver check‑ins, provide ETAs, assign start times, and support daily operations.</li><li>Review driver gallons for forecasted sites and communicate any changes.</li><li>Support drivers with reconciliation calls, incident reports, accident reports, and breakdown reports.</li><li>Coordinate road service and communicate with terminal managers and event leaders as needed.</li></ul>Customer Service &amp; Requirements:

What You'll Do:
<ul><li>Provide customer service to visitors, travelers, and staff by carrying out security-related procedures, site-specific policies, and/or emergency response activities appropriate to the location.</li>
<li>Respond to incidents, disturbances, and critical situations in a calm, problem-solving manner, documenting observations and reporting concerns to the appropriate personnel.</li>
<li>Conduct regular and random patrols throughout terminals, public areas, access points, parking areas, and perimeter locations, noting unusual activity and/or conditions that may require attention.</li>
<li>Monitor entry and restricted areas in support of access control procedures, helping to deter unauthorized activity and directing individuals according to site policies.</li>
<li>Assist with crowd management, wayfinding, and public assistance during routine operations, delays, and/or emergency situations while maintaining a professional presence.</li></ul>
Minimum Requirements:
<ul><li>Have at least 1 year of security-related experience.</li>
<li>Be at least 21 years of age.</li>
<li>Customer service experience is preferred.</li>
<li>Access control and/or badge experience is preferred.</li>
<li>Alarm panel experience is preferred.</li>
<li>Be at least 21 years of age for unarmed roles; 22+ years of age for armed roles.</li>
<li>Possess a high school diploma or equivalent.</li>
<li>As a condition of employment, applicants will be subject to a background investigation in accordance with all federal, state, and local laws.</li>

Job Summary:

Help the growth of the local office by supporting service and maintenance accounts for a specific geographical area, coordinating the work efforts of the technicians and sales support to ensure projects are sold and implemented in a timely and orderly fashion. Assist in other general administrative tasks as requested by the Branch Manager.</div>
Essential Duties &amp; Responsibilities:
<ul><li>Take client service calls and open jobs as needed following all proper procedures.
</li><li>Check all work orders for proper addressing, labor hours charged, all numbers, dates, et., before work orders are given to billing.
</li><li>Schedule the calls along with all previously scheduled work.
</li><li>Dispatch techs on previously scheduled maintenance and service calls.
</li><li>Verify times and job status (complete, open). Create job number and job file. Dispatch both emergency and scheduled work.
</li><li>Order filters for monthly maintenance as needed for technician/driver pick up.</li><li>Research as needed on whether a job is a warranty call or not. This may involve the Project Manager or accounting&rsquo;s assistance in pulling invoices. Research may include checking on vendor invoices and relevant service ticket information.
</li><li>Keep necessary job logs and file paperwork in conjunction with the Purchasing Agent.</li><li>Assist new technicians in employment policies and procedures as they relate to dispatch.
</li><li>Assist other dispatchers by handling phone/radio overflow when necessary. Cover during lunch time and sick and/or vacation leave.
</li><li>In the event of a technician&rsquo;s injury or accident, have employee notify Human Resources immediately and re-schedule workflow as needed.
</li><li>Take problem/complaint calls and handle appropriately or direct to Branch Manager.
</li><li>Take calls for billing/invoice questions and direct to proper personnel.
</li><li>When necessary, advise sales department of major clients&rsquo; service calls.
</li><li>Timesheets: Route completed original timecard to HR/Payroll clerk with work order numbers and prevailing wage rates (if applicable).
</li><li>Enter tech&rsquo;s time into Coins.</li><li>Enter materials, truck charges, recommended repairs, and the work summary from the work ticket. Research material costs, if necessary.</li><li>Complete service work order and print the &ldquo;pre-invoice&rdquo; for Branch Manager&rsquo;s review.</li><li>Keep tracking sheet for date of requests and receipt of reports.</li><li>Maintain certified payroll report files for each job.</li></ul>
Qualifications:
<ul><li>High School Diploma or equivalent a plus.
</li><li>Previous HVAC industry experience a plus</li><li>1+ years customer service background required</li><li>General computer skills including Microsoft Word and Excel</li></ul><div></div><div>
