What this job involves:
As an Assistant Facilities Manager at JLL, you will help the FM team to oversee several client buildings managed by JLL while reporting to the Facilities Manager and working as part of the overall Facilities Team to manage a range of soft services and provide necessary support to ensure efficient and effective running of the site. You will manage the team providing first line soft services to the site(s) including reception, mail operations, meeting &amp; events, cleaning, waste &amp; recycling, vending &amp; food services while monitoring and maintaining office equipment and supplies and managing regular contact and meetings with relevant vendors to report on issues, recommendations and cost estimates. What your day-to-day will look like:<ul><li>

Required Qualifications:<ul><li>

Experience in commercial real estate management industry as third-party provider, corporate, or consultant with experience using Computerized Maintenance Management System (CMMS)</li><li>
Excellent customer, computer, managerial, verbal and written communication skills with ability to multi-task and effectively organize responsibilities for portfolio goals</li><li>
Understanding of basic technical aspects of property including mechanical and electrical systems with computer proficiency experience with Microsoft Office Suite</li><li>

About the OpportunityRDE Advisors, Inc. is building a dedicated Property Management division and is seeking an experienced, self-directed Part-Time Property Manager / Bookkeeper (1099 independent contractor) to oversee operations and financials for a well-maintained mixed-use building in Chelsea. The building has 7 residential units (2 rent-stabilized) and 5 commercial tenants, supported by 3 long-tenured on-site staff&mdash;including a building engineer&mdash;each with 10+ years of service. The property is stable with minimal day-to-day issues; the workload is light and consistent. This role is as much about financial discipline and organization as it is about property operations. This is not a turnaround&mdash;it is a stewardship role designed for someone comfortable operating independently and taking ownership of decisions without constant oversight. Review all new and re-admit admission record received from centralized admission and screen for Long term, short term cases in addition to verification and confirmation of insurance coverage and send out email blast to all appropriate parties on updates needed.</li><li>
Telephoning resident/families/responsible parties within 48 hours for initial interview, quoting facility daily rate, confirming demographic, verifying insurance coverage and request for financial documentation for Nursing Home Medicaid determination to be send via secure email.</li><li>
Verify insurance coverage coded in Point Click Care (PCC) for discrepancies also verifies insurance coverage from various insurance portals</li><li>
Sending email to financial clearance team to verify secondary and commercial insurance found that is not coded in PCC</li><li>
Document all transactions in PCC notes</li><li>
Act as liaison with social worker to assist in obtaining signature on significant documents from the attending physicians, and family members</li><li>
Follow up on cases to insure Medicaid submission are within 60 days and complete submission to HRA or follow up on documentation needed for submission</li><li>
Maintains competency of BlueMark (Electronic Portal for Medicaid application submission) on all Post-Acute Care outstanding cases needing to submit to HRA for determination of eligibility insurance</li><li>
Review transmission report in BlueMark on approved, denied, deferred cases in BlueMark and assigned to HCI for review and update; maintains statistical records and prepares status reports.</li><li>
Import/scan budget letter approvals into the computerized system</li><li>
Notify resident or responsible party of approved Medicaid with their monthly NAMI (Net Available Monthly Income) responsibility and encourage to sign up for RFMS electronic NAMI withdrawal</li><li>
Assist resident with annual Medicaid recertification for continuing eligibility insurance coverage</li><li>
Update UR tracker and attending weekly UR meeting to discuss residents needing Medicaid insurance coverage</li><li>
Courteously and properly handle or refer all calls received</li><li>
Serves as liaison between department administrative, technical and professional divisions and work harmoniously with a culturally diversified staff.</li><li>

Additionally, this position will also ensure that client requests are promptly addressed in order to achieve the highest level of customer satisfaction and in accordance the required standards.Responsibilities:Team Management<ul><li>Motivates, directs, trains and coaches all employees to meet maintenance requirements.</li><li>Conducts quality assurance checks.</li><li>Adheres to cleaning specifications as set forth by contractual agreements and company standards.</li><li>Promptly manages client request and responds to client complaints.</li><li>Conducts inspections and submits reports on a weekly basis.</li><li>Recommends services and maintenance care to clients.</li><li>Maintains constant communication with clients to ensure quality service.</li></ul>Inventory and Supply Management<ul><li>Manages inventory and distributes equipment, supplies, and other materials in a cost effective and efficient manner.</li><li>Arranges for equipment maintenance and repairs.</li></ul>Administration, Safety, Training and Other Responsibilities<ul><li>Ensures accurate timekeeping records daily and accurately reports weekly payrolls.</li><li>Maintains personnel calendars and documents sick, personal, holiday and other applicable records through the time and attendance system.</li><li>Maintains safety records, investigates work related and liability incidents, reports incidents according to safety and OSHA regulations, and coordinates and conducts required safety trainings.</li><li>Adheres to client specific administrative reports, documentation, and other requests.</li></ul>Qualifications and Competencies:<ul><li>High School Degree required; College degree desired.</li><li>3-5 years of prior supervisory experience in facilities maintenance or similar industry.</li><li>Successful experience with managing, motivating, training, and coaching large teams.</li><li>Knowledge of and ability to train on compliance for OSHA, JCAHO, and DOH and other regulatory agencies.</li><li>Strong relationship building skills, specifically able to build effective relationships with property management, other facility teams, client representatives, CBS staff and management.</li><li>Experience with managing in a union environment highly desired as well as experience following union protocols.</li><li>Able to prioritize work and elevate appropriately any obstacles or concerns.</li></ul>Job Type: Full-timePay: $80,000.00 - $90,000.00 per yearApplication Question(s):<ul><li>Do you have experience with Joint Commission Surveys?</li></ul>Experience:<ul><li>EVS Management: 1 year (Preferred)</li></ul>Language:<ul><li>Spanish (Preferred)</li></ul>Shift availability:<ul><li>Overnight Shift (Required)</li></ul>Ability to Commute:<ul><li>New York, NY 10016 (Required)</li></ul>Work Location: In person
