ROLE OVERVIEW and PURPOSE

The Front Office Supervisor promotes effective operations of the health center front office by supervising and training patient service representatives to schedule appointments, answer phones, and check patients in/out for appointments. This role will monitor daily front office operations to identify ways to improve services and create developmental opportunities for the team. Depending on the site or department, this role may also be responsible for overseeing call center reps and/or interpreters. 


RESPONSIBILITIES

<li>Monitors provider schedules to ensure that appointments are scheduled according to established guidelines</li>
<li>Maintains office inventory and supplies, while adhering to clinic procedures for procurement</li>
<li>Monitors, reviews, and corrects reported billing errors and actions before submitting report to management</li>
<li>Promotes attitudes, environments, and operational systems directed toward patient satisfaction</li>
<li>Builds teams to promote and improve effective health center operations</li>
<li>Oversees activities, productivity, quality and schedules for other non-clinical groups; this may be specific to individual sites</li>
<li>Facilitates team trainings, including new hire orientation for new hires and volunteers</li>
<li>Monitors reminder notices to patients regarding upcoming appointments</li>
<li>Works with management to resolve day-to-day scheduling problems or changes</li>

Site Specific &ndash; El Cajon (Interpreter Services and Call Center)
<ul>
<li>Hires and trains new interpreters to ensure proficiency in Arabic and/or Spanish</li>
<li>Ensures all telephone encounters and messages, including call backs which require an interpreter, are handled in a timely manner</li>
<li>Conducts periodic quality assurance checks for each interpreter to ensure we are providing optimal and accurate communication to our patients</li>
<li>Assists with translation of organization wide documents, signs, automated forms, text messages as requested by directors</li>
<li>Oversees the Arabic call center phone queue</li>
</ul>
Supervision
<ul>
<li>Recommends or make decisions to hire, transfer, reward, discipline or terminate employees</li>
<li>Evaluates, coaches, and develops team performance by using job requirements and competency assessments</li>
<li>Works with management to prepare and conduct 90-day and annual performance evaluations for all direct reports</li>
<li>Assists and conducts department meetings to promote communication, assess and resolve needs, and foster teamwork with management</li>

EDUCATION/EXPERIENCE

Alert management of potentially serious issues.</li><li>Accurately process all cash and credit card transactions in accordance with established procedures including but not limited to posting all charges, completing cashier or other reports, preparing deposit, and counting/securing assigned bank.</li><li>Routinely check in/check-out guests, answer phones, take reservations and assist staff with job functions. May be responsible for issuing safe-deposit boxes to guest and ensuring the security of keys.</li><li>Promote hotel services, facilities and outlets; provide guests with information such as local attractions and directions to increase guest satisfaction.</li><li>Complete opening and closing shift duties and communicate any outstanding guest requests or issues to management that may require additional monitoring or follow-up.</li><li>Respond appropriately to guest complaints. Make appropriate service recovery gestures in accordance with established guidelines.</li><li>Promote teamwork and quality service through daily communication and coordination with other departments.</li><li>Perform other duties assigned which may include guest room tours, concierge services, special guest requests.</li><li>Oversee Rooms Controller responsibilities on a biweekly basis.</li></ul>QUALIFICATIONS AND REQUIREMENTS:High School diploma or equivalent, plus one-year front desk/guest service experience. Some college preferred. Must speak and write fluently in English. Other languages preferred.This job requires ability to perform the following:<ul><li>Frequently standing up behind the desk and front office areas</li><li>Carrying or lifting items weighing up to 50 pounds</li><li>Handling objects, products and computer equipment</li><li>Use a keyboard to operate various property management and reservations systems, etc.</li></ul>Essential:<ul><li>Communication skills are utilized a significant amount of time when interacting with guests and employees.</li><li>Reading and writing abilities are utilized often.</li></ul>Basic math skills are used frequently.<ul><li>Problem solving, reasoning, motivating and training abilities are often used.</li><li>May be required to work nights, weekends, and/or holidays.</li></ul>STANDARD SPECIFICATIONSRequirements are representative of the minimum levels of knowledge, skills and/or abilities.
