We are seeking a St. Louis-based <b>Benefits Specialist</b> to work a hybrid schedule and manage all aspects of employee benefits and compliance at GrayMatter. This individual will administer benefit plans&mdash;including medical, dental, vision, life insurance, disability, and retirement&mdash;while supporting open enrollment, new hire enrollments, and life event changes. The role includes reconciling benefit invoices, maintaining documentation and communications, and collaborating with brokers and carriers on eligibility, claims, and plan updates. The Benefits Specialist will ensure compliance with federal and state regulations, support audits and reporting, and monitor legislative changes. They will also maintain accurate HRIS data, assist with system updates, and serve as the primary contact for employee benefit inquiries, onboarding/offboarding, and manager support. Additional responsibilities include cross-training in payroll administration, managing the HR shared inbox, and contributing to continuous improvement of benefits workflows.<br>

<b>General Job Duties:</b></div>
<ul><li>Administer employee benefit plans including medical, dental, vision, life insurance, disability, and retirement; support open enrollment, new hire enrollments, and qualifying life events.</li>
<li>Reconcile monthly benefit invoices; maintain benefit documentation, guides, and employee communications; collaborate with brokers and carriers to manage eligibility, claims, and plan updates.</li>
<li>Ensure compliance with federal and state regulations (ERISA, ACA, COBRA, HIPAA, FMLA); maintain required records and filings; support audits, testing, and annual reporting (e.g., ACA 1095-C, Form 5500); monitor legislation and recommend updates.</li>
<li>Support HRIS System Administrator to ensure benefit data accuracy and system functionality; audit HRIS data for correct setup and deductions; troubleshoot data issues and assist with system testing and updates.</li>
<li>Serve as primary contact for employee benefits inquiries, providing clear guidance and timely resolution; educate employees on benefit programs, policies, and procedures; assist with onboarding/offboarding and support managers with benefits-related questions and reporting.</li>
<li>Cross-train in payroll administration and provide backup support during absences.</li>
<li>Help manage the HR department&rsquo;s shared inbox, ensuring timely responses and proper routing of inquiries; contribute to continuous improvement of benefits workflows and cross-functional collaboration.</li>

Position Description<b>:</b></p><p></p><p>
The Benefits Coordinator is responsible for performing a wide variety of benefit support functions, including but not limited to benefit policy and procedure interpretation, benefit and retirement administration, regulatory compliance, wellness, training and customer service for Goodwill of Central and Northern Arizona (GCNA) and its affiliated entities.</p><p></p><p>
Essential Duties and Responsibilities<b>:</b></p><ul><li>
Daily, effectively communicates via phone, mail, and email to Team Member inquiries and requests regarding their benefits. Forms of Team Member communication include phone calls, emails and tickets submitted through our ticketing system.</li><li>
Partners with Leaders, HR Business Partners, and Third-Party administrators in the weekly process of Team Members eligibility. Tracks notices to confirm that benefit offers are made to eligible Team Members.</li><li>
Assists with Team Member retro-payment adjustments for benefits after the effective date of enrollment, changes, terminations, etc. and partners with Payroll for processing.</li><li>
Responsible for reconciling bills from carriers as well as internal and external system audits, as needed.</li><li>
Assists with the reporting requirements of all relevant government rules and regulations, including the Employee Retirement Income Security Act (ERISA).</li><li>
Tracks and processes medical support orders, including any follow-up that may be needed.</li><li>
Reviews audit reports generated by various sources and resolves benefit data discrepancies.</li><li>
Mediates between benefit providers and Team Members, such as assisting in handling Team Member&rsquo;s routine benefit-related questions.</li><li>
Assists with the wellness program, including impactful events and challenges for all GCNA Team Members that promote well-being. This may require travel to other locations.</li><li>
Coordinates with vendor on the Team Member notification of COBRA eligibility to household members and Team Members that are on a leave of absence; includes notification to household members of eligibility for COBRA, etc. when benefits are discontinued.</li><li>
Ensures the tickets in Jira for 401k and benefit related questions are reviewed on a regular basis, providing information to Team Members inquiring about GCNA&rsquo;s 401k and benefit plans.</li><li>
As needed, collaborates with vendors, brokers, and insurance carriers regarding escalated customer issues, billing reconciliations, and other concerns as they arise.</li><li>
Builds relationships with Team Members and Leaders and acts as a point of contact for our Insurance Carriers.</li><li>
Responsible for assisting in the planning and organizing of the annual open enrollment process for all GCNA Team Members. Includes scheduling and organizing facilities, preparing documents, coordination with insurance company representatives and other vendors, coordinating and scheduling staffing for all open enrollment activities, etc. Coordinates dissemination of information with providers.</li><li>
Assists in the preparation and distribution of written communications to inform Team Members of benefit offerings. Also assists in the development of tools that aid Team Members in benefits selection.</li><li>
To ensure efficiency, documents any new or updated processes, as needed.</li><li>
Administers the Trip Reduction Program, including annual reporting, surveys, monthly drawings, and audits.</li><li>
Maintains current knowledge of State and Federal legislation regarding Team Member benefits or anything that may impact Team Member benefits including Health Care Reform.</li><li>
Contributes to building a cohesive work environment by working together as a team.</li><li>

Minimum Qualifications (Education, Experience, Skills)<b>:</b></p><ul><li>
High School Diploma, GED, or equivalent work experience</li><li>
One to two years related experience, specifically with medical insurance and working with providers</li><li>
Excellent written and verbal communication skills</li><li>
Bilingual in Spanish and English preferred</li><li>
Ability to speak and read English proficiently</li><li>
Insight to remain objective when handling sensitive customer service issues</li><li>
Capable of handling multiple calls on a consistent basis due to heavy phone volume</li><li>
Versatility to work in an office setting with other Team Members that reflects an environment of constant movement and multi-tasking</li><li>
Proficient in MS Office skills including Word and Outlook</li><li>
Must have strong Excel skills</li><li>
Ability to perform work accurately and thoroughly, with a strong attention to detail by focusing on the minute details of a project or task</li><li>
Ability to be self-directed and show initiative</li><li>
Ability to work independently and with a team</li><li>
Ability to pass a background check and drug screen, where applicable for position</li></ul><p></p><p>
