We are looking for an Invoice/Administration Coordinator to join our company.</div><div></div><div>
In Wilhelmsen Port Services, we provide our customers with piece of mind while we handle their cargo, their vessels and their crew. We handle 75,000 port calls per year, which means that every 7 minutes, anywhere around the world, we send a ship safely out to sea again to fulfil its purpose. We match local expertise with strict global standards, making sure we consistently make our customers&rsquo; port calls as efficient and safe as possible.</div><div></div><div>
What you will be doing:</div><ul><li><div>
Systematic invoicing of jobs carried out by Ship Spares Department.</div></li><li><div>
Regular usage of company software</div></li><li><div>
Coordination with respective offices to procure PID details/invoicing addresses prior to initiating invoicing process</div></li><li><div>
Receive and supervise job files for all clients and accurately invoicing charges for service rendered to customer.</div></li><li><div>
Archiving of files as per company policy.</div></li><li><div>
Dispatching of original invoices/credit notes along with proper documents / attachments to local clients &amp; overseas clients.</div></li><li><div>
Admin/Back office support.</div></li><li><div>
Petty cash handling</div></li></ul><div></div><div>

Formal education with accounting</div></li><li><div>
Relevant experience in logistics</div></li><li><div>
Excellent communication and Computer skills</div></li><li><div>

We are seeking a proactive and organised Operations Coordinator to support the efficient delivery of day‑to‑day operational activities across the business. The role will focus on coordinating cross‑functional tasks, managing operational processes, maintaining accurate records, supporting project delivery, and providing a central point of contact for stakeholders to ensure smooth and timely operations.</p><h2 class="jobSectionHeader"><b>
Key Ownership &amp; Accountability</b></h2><ul><li><p>
Coordinate and own the execution of operational tasks and workflows, ensuring timely completion and adherence to standards.</p></li><li><p>
Maintain accurate operational records, logs and reports to support decision making and performance tracking.</p></li><li><p>
Act as the primary contact for internal teams and external partners for day‑to‑day operational queries and escalations.</p></li><li><p>

Core Responsibilities</b></h3><ul><li><p>
Manage daily operational activities including scheduling, resource coordination and task allocation to internal teams and third‑party suppliers.</p></li><li><p>
Support project and programme teams by coordinating meetings, producing minutes, tracking actions and monitoring project timelines.</p></li><li><p>
Prepare, review and distribute operational reports, KPI dashboards and management information to relevant stakeholders.</p></li><li><p>
Maintain and update standard operating procedures, process maps and operational documentation; recommend improvements to increase efficiency.</p></li><li><p>
Support procurement activities including raising purchase orders, tracking deliveries and liaising with suppliers to resolve issues.</p></li><li><p>
Administer operational systems and tools, manage user access where appropriate and coordinate with IT for system changes or incidents.</p></li><li><p>
Support onboarding of new team members from an operational perspective, including equipment allocation, systems access and induction coordination.</p></li><li><p>
Assist with incident response and business continuity activities, supporting recovery tasks and post‑incident reviews.</p></li></ul><h3 class="jobSectionHeader"><b>
Skills &amp; Experience</b></h3><ul><li><p>
Proven experience in an operational, coordination or administrative role within a fast‑paced environment.</p></li><li><p>
Strong organisational skills with the ability to prioritise competing tasks and manage time effectively.</p></li><li><p>
Excellent written and verbal communication skills, with experience working with multiple stakeholders at different levels.</p></li><li><p>
Comfortable using business systems (for example ERP, CRM or task management tools) and confident creating and maintaining reports and spreadsheets.</p></li><li><p>
Problem‑solving mindset with attention to detail and a focus on continuous improvement.</p></li></ul><h5 class="jobSectionHeader"><b>
Qualifications &amp; Additional Information</b></h5><ul><li><p>
Educated to A‑level or equivalent; a degree or relevant professional qualification is advantageous but not required.</p></li><li><p>
Typically1&ndash;3 years' experience in operations, coordination or related roles; transferable experience will be considered.</p></li><li><p>
Ability to work flexibly and occasionally outside standard hours when required to support critical activities.</p></li><li><p>
