The purpose of this position is to administer and support employee-qualified leave of absence and time off programs such as paid time off, holiday, sick leave, short- and long-term disability, parental, military, jury duty, bereavement, workers compensation, ADA, paid care time off, FMLA, personal leave, applicable state leave, and any other employee leave. In addition, this position supports benefits administration by assisting with related processes and providing cross-coverage for continuity of service.

Job Responsibilities:</div><ul><li>
Process leaves of absence for all leave-related employee benefit programs.</li><li>
Advise employees on company policy, guidelines, and documentation requirements.</li><li>
Provide employees with leave of absence paperwork and ensure that it is completed correctly, recorded, and filed in a timely manner.</li><li>
Monitor and track absence status, documentation, and return to work dates.</li><li>
Partner with third party administrator and internal payroll to ensure correct and timely leave payment, inclusive of benefit premium deductions.</li><li>
Partner with managers to develop modified work scheduling or return to work accommodations related to leave of absences and ADAs.</li><li>

Analyzes state leave laws to identify compliance gaps and potential updates to our policies/processes.</li><li>
Supports benefits administration projects such as Open Enrollment system configuration, processing qualifying life events, and other benefit-related activities, as directed.</li><li>
Collaborates with the Benefits Analyst on benefit administration activities and provides coverage during absences.</li><li>
Assists in employee education around benefits and leave programs, ensuring consistent understanding across the workforce.</li><li>
Performs other HR-related duties and projects as assigned.</li><li>
Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.</li></ul>

Position Description:
Responsible for administration and support tasks related to the Leave of Absence (LOA) programs, including family medical leaves (FMLA), non-medical leaves, American&rsquo;s with Disabilities (ADA) and state leave laws for Goodwill of Central and Northern Arizona (GCNA) and its affiliated entities. Provides excellent customer service to Team Members, Leaders and Human Resources team.
Essential Duties and Responsibilities:<ul><li>
First point of contact for the Leave of Absence Department; answers phone calls through the LOA phone line and responsible for managing the Ticketing system (Leave of Absence management request system).</li><li>
Responds to Team Member&rsquo;s requests regarding accommodation and eligibility for LOA received by the HR Leaves Department, assigns cases to the Leave &amp; Accommodation Partner, Sr. Leave Administrator, and or Manager, Leave Administration when necessary. Provides information for short-term and long-term disability benefits when requested.</li><li>
Completes Team Member intakes regarding a Leave of Absence or accommodation.</li><li>
Confirms Team Members leave request type based on eligibility, partners with Leave &amp; Accommodation Partner, Sr. Leave Administrator, and or Manager, Leave Administration as appropriate.</li><li>
Uses approved templates to send Leave Notifications and updates to Leadership.</li><li>
Prepares and sends accurate leave-related documentation, this includes gathering and organizing employee leave paperwork, completing eligibility notifications, and sending these documents to leadership and the Team Member.</li><li>
Scans, saves, and attaches all documentation into HRIS system in order to maintain confidentiality of documents and to remain compliant.</li><li>
Receives, tracks, and enters all LOA information into HRIS or other tracking mechanisms, updates leave or accommodation statuses accordingly.</li><li>
Follows up with Team Members on missing/inaccurate/illegible paperwork for correct leave processing and determinations.</li><li>

Effectively communicates via phone and email the status of LOA or ADA accommodation(s) to Leadership, HR Business Partners, and Team Members, as appropriate.</li><li>
Ability to manage high call and email volume.</li><li>
Every pay period processed return to work audit to add vacation grants into the HR System if the Team Member was out on 1/1 or 7/1.</li><li>
Monitors, audits, and enters sick and vacation pay for Team Members during LOA, ensures hours are properly recorded in the timekeeping system for each pay period.</li><li>
Runs reports for Payroll and Benefits Teams to ensure medical benefits are reinstated.</li><li>
Builds relationships with Team Members and Leaders, and acts as a point of contact for our HR Leaves Department.</li><li>

</li><li>Run reports for ACA measurement periods. In collaboration with the HR Director, track employee hours for ACA determination. Send eligibility letters and benefit packets.
</li><li>Run reports (New Hires, Promos, Transfer) to ensure that all eligible staff is on benefits and their salary grade coincide with their benefit deduction.
</li></ul>Administrative Support:
<ul><li>Perform basic administrative tasks associated with the HR function, and participate in HR Initiatives.

The Leave of Absence Program Specialist is directly responsible for the day to day administration of the organization-wide Leave of Absence and ADA programs in adherence to local, state and federal mandates. They effectively coordinate all cases/claims to include general administration, comprehensive case management and program compliance in a multi-state environment.
 Essential Job Functions *
 
1. Act as the main point of contact and provide extensive case management for all leave of absence requests/claims; coordinates administrative aspects of the cases and claims, communicating directly with employees, supervisors, and other internal teams.
 2. Partner with external vendors or third-party administrators (TPAs) to ensure timely and accurate processing of claims and paperwork.
 3. Coordinate and administer work procedures and policies for leaves of absence claims, and sends applicable case updates to employees, managers and HRBP’s.
 4. Ensure compliance with all leave of absence regulations, updating processes as needed to comply with federal and state legislation (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.)
 5. Responsible for all regulatory reporting required for programs.
 6. Facilitate employee return to work with HRBP’s and leaders.
