Job Summary (basic description)
The legal secretary will work with multiple attorneys providing a full range of support, including, but not limited to, preparation/revision of correspondence, pleadings and documents; calendar maintenance; various office and client filing and electronic transcription.
The successful candidate enters data accurately, is a very organized multi-tasking, detail-oriented team player possessing at least 3 years recent legal secretary experience (including electronic filing). Litigation experience is preferred.
Essential Functions<ul><li>
Engaged in the work of the attorney by demonstrating knowledge and status of current cases and projects, utilizing available resources in order to achieve.</li><li>
Provide support to up to four attorneys in employment law matters and backup support as needed.</li><li>
Communicate verbally and electronically with clients daily.</li><li>
Act as liaison between internal departments and outside agencies.</li><li>
Preparation/revision of correspondence, pleadings, documents and other clerical assignments as directed.</li><li>
Handle a wide variety of complex and confidential, time-sensitive material.</li><li>
Communicate with internal department to initiate conflict checks and open new client engagements as requested.</li><li>
Prepare engagement letters for new clients/matters.</li><li>
Maintain calendars, CLE, reports and time records.</li><li>
Book and organize travel arrangements including flights, hotels, transportation, make changes to reservations as needed.</li><li>
Maintain record of expenses and submit invoices timely to accounting department for payment.</li><li>
Work with docketing to maintain calendar for litigation attorneys.</li><li>
Transcribe electronic dictation, and schedule depositions.</li><li>
Various office and client filing; proofreading documents.</li><li>
Ensure storage of email and client documents to document management system.</li><li>
Assist attorneys with monthly prebill review in electronic billing systems.</li><li>
Communicate with billing and collections departments as needed.</li></ul>
Qualifications/Skills Required<ul><li>
At least 3 years recent legal secretarial experience within a law firm, labor and employment experience a plus.</li><li>
Electronic data entry and preparation of documents.</li><li>
Law firm billing software a plus.</li><li>
Familiarity with state and federal rules and procedures.</li><li>
Must have a solid understanding of technical legal terminology as well as court filings.</li><li>
Experienced with trial preparation and briefs.</li><li>
Punctual with excellent attendance.</li><li>
Proficient with generating Tables of Authorities and Tables of Contents.</li><li>
Strong verbal and written communication skills, as well as excellent proofreading skills.</li><li>
Ability to multi-task, and timely respond to deadlines as well as balance workload for multiple attorneys.</li><li>
Knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.</li><li>
Strong interpersonal skills and ability to work well in cooperative, office environment and communicate with attorneys and support staff on every level.</li></ul>

 Responsibilities Include

 Extensive and accurate diary management for all attorneys

 Document production, including heavy amendments and formatting, track changes (if applicable) and working in multiple versions of documents

 Complex travel arrangements, including flights, accommodation, visas and transfers

 Handle telephone queries and relay relevant messages accurately

 Preparation of expense claims, invoice requests and petty cash reports

 Assist with the opening of new client files and new matters, including obtaining the necessary KYC documentation for every client

 Input client development events and meetings into InterAction
 </li>

 Coordinate with the secretary team to handle the main reception switchboard, welcome visitors and prepare meeting rooms

 Provide additional secretarial support for other partners/attorneys as required due to their secretary being absent
