Position Summary:

The Front Desk &ndash; Client Support Specialist is the first point of contact at Ellis Porter, creating a welcoming and professional experience for every client and visitor. In this role, you&rsquo;ll manage front desk operations while providing reliable administrative support to the Director of Operations, Attorneys, and Case Managers. You&rsquo;ll play a key role in ensuring day-to-day office functions run smoothly and that clients feel supported from the moment they connect with our firm. What You'll Do:

Reporting to the Office Manager this position will be responsible for providing a broad range of administrative, secretarial and document processing support with guidance to the assigned practice group in an environment where superior client service is emphasized and practiced.
 
 
Maintaining an in-office presence is important to delivering our services through an integrated and collaborative work culture. Firm policy requires this role to work in the office three days per week as scheduled by their manager unless client demands, or another accommodation approved by their practice group, require them to be elsewhere.
PRIMARY FUNCTIONS AND RESPONSIBILITIES
Individuals in this position are expected to demonstrate all the attributes described for Legal Administrative Assistant and Legal Administrative Coordinator .
<ul><li>Regularly utilizes Task Delegation and Workflow Management software (BigHand) to receive, enter and update assignments; timely communicates with supervisor(s) through BigHand and/or directly the status of task completion and new developments that may impact the assignment and proactively seeks additional information or guidance when needed.
</li><li>Assists with word processing; edits and proofreads correspondence, memorandums, reports, and other general communications.
</li><li>Drafts routine correspondence and memoranda; updates recurring reports as assigned.
</li><li>Performs redlining.
</li><li>Demonstrates a high level of internal and external client service; screens communication and responds promptly in a clear, concise, professional, and accurate manner.
</li><li>Responds to client, staff, legal professionals, and vendor inquiries.
</li><li>Answers phones and takes messages, schedules appointments and coordinates meetings; arranges audio and video conferences; reserves conference rooms and arranges set-ups.
</li><li>Maintains attorney calendar and advises attorney of appointments, updates attorney address book and InterAction entries.
</li><li>Assists with time entry.
</li><li>Assists with the billing process including proforma delivery, narrative edits, and customized reports.
</li><li>Processes new business intake, related forms, and correspondence.
</li><li>Processes expense reports and invoices; arranges check requests; monitors through completion.
</li><li>Arranges travel and prepares itineraries; maintains attorney travel and desk profiles.
</li><li>Coordinates or assists with printing, scanning, copying of documents and/or sending of same.
</li><li>Maintains electronic and/or physical files, calendars, correspondence, and collaborative workspaces; creates and maintains binders.
</li><li>Maintains case docket/calendaring, as needed.
</li><li>Transcribes text (e.g., correspondence, and miscellaneous legal documents) from handwritten drafts, voice messages or recordings.
</li><li>Opens, screens and routes mail, and manages faxes and email.
</li><li>Provides legal research, case support and project assistance.
</li><li>Other administrative duties as assigned.
</li></ul>EDUCATION AND EXPERIENCE
<ul><li>Bachelor&rsquo;s degree and at least seven (7) years of administrative support experience, or equivalent combination of education and experience.
</li><li>Previous law firm experience required.
</li><li>Overall Performance rating is Consistently Meets Expectations or above.
</li><li>Demonstrates excellence in Microsoft Outlook, Word, Excel, PowerPoint and Portable Document Format (PDF) software.
</li><li>Flexibility to work overtime required.
