Responsibilities:</div><ul><li>
Manage high volumes of manual freight invoices on behalf of multiple manufacturing plants, including monthly recaps, tracking, and audit support</li><li>
Submit freight, customs, demurrage, and incident-related invoices for payment through SAP / Coupa and coordinate with Accounts Payable to expedite urgent payments</li><li>
Ensure invoices are properly coded, approved, and routed to the correct plant or cost center</li><li>
Act as the primary point of contact with rail carriers (e.g., CSX) to research and resolve past-due freight, short payments, duplicate billings, and unapplied cash</li><li>
Analyze aging statements, remittance files, railcar numbers, load IDs, and BOLs to reconcile discrepancies and support payment posting</li><li>
Coordinate internally with Rail Managers and Logistics Leads to investigate disputed lanes and recurring billing issues</li><li>
Prepare and distribute monthly manual invoice summaries including counts and dollar values for leadership and audit visibility</li><li>
Support internal control processes by providing documentation of charges applied to each plant</li><li>
Track payment status and follow up with AP and carriers until issues are fully resolved</li><li>
Serve as a trusted logistics finance partner for Plant Logistics, Trade Compliance, Procurement, and Finance teams</li><li>
Provide clear guidance to carriers on invoice submission requirements, including plant‑specific AP routing when invoices are not submitted through TMS/JDA</li><li>

Documentation and Reporting: Prepare, review, and distribute essential documents and updates, maintaining organized and accessible electronic files.</li><li>
Logistics and Technical Support: Coordinate logistics for travel and meetings, ensuring materials and documents are properly managed and archived.</li><li>
Administrative Duties: Manage office supplies, distribution lists, and executive communications, ensuring smooth daily operations.</li><li>
Communication and Coordination: Serve as the primary communication link for the executive team, facilitating accurate and timely information exchange.</li><li>
Process Improvement: Develop and refine SOPs, identifying and implementing improvements to enhance administrative efficiency.</li></ul>
Required Qualifications:<ul><li>
Education: Bachelor&rsquo;s degree in Business Administration, Office Management, or a related field.</li><li>
Experience: Minimum of 3-5 years of experience in executive administrative support, office management, or a similar role.</li><li>
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms such as Microsoft Teams and ZOOM. Familiarity with document management systems like SharePoint.</li><li>
Organizational Skills: Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.</li><li>
Communication Skills: Excellent written and verbal communication skills, with the ability to draft clear, concise, and professional correspondence.</li><li>
Problem-Solving Skills: Ability to identify issues and develop effective solutions, particularly in high-pressure situations.</li><li>
Interpersonal Skills: Strong interpersonal skills, with the ability to work collaboratively with leadership and team members.</li></ul>
Preferred Qualifications:<ul><li>
Advanced Experience: Experience supporting executive leadership in a public health or government setting, including coordinating high-level meetings, managing communications, and overseeing logistics is highly desirable.</li><li>
Industry Knowledge: Familiarity with public health programs, evaluation methods, and government protocols.</li></ul>
