The Registrar supports the Curatorial Department by assisting the Curator Supervisor with Collections Management, Conservation/Restoration, and Research/Education. The Registrar plays a vital role in ensuring that the NM Museum of Space History's permanent and loaned collections are properly documented, preserved, and maintained according to professional museum standards such as American Alliance of Museums Code of Ethics. Under the direction of the Curator Supervisor, the Registrar is responsible for managing and maintaining collection records, inventorying, cataloging, and registering objects, as well as supporting ongoing research and public access initiatives. Through these efforts, this position helps safeguard the Museum's valuable artifacts and makes space history accessible and meaningful to diverse audiences, both in person and online.
 How does it get done?

<li>Update and refine Past Perfect records to include photographs, dimensions, condition reports, locations, and detailed descriptions and histories.</li>
<li>Maintain accurate documentation such as loan agreements, insurance forms, and condition reports for incoming and outgoing loans.</li>
<li>Organize and maintain the Museum's library, archives, and photo archives.</li>
<li>Help develop and enforce registration policies and procedures for acquisition, storage, management, and disposition of collections.</li>
<li>Participate in re-housing and shelving projects, including designing custom storage solutions to protect artifacts from environmental hazards.</li>
<li>Assist the Curator Supervisor with basic conservation tasks, including cleaning and minor repairs, using proper materials and techniques.</li>

<li>Collaborate on strategies to minimize risks to artifacts through proper handling, storage, and display practices.</li>

<li>Assist researchers, educators, and program staff by providing access and information about the Museum's collections.</li>

This position, under the guidance of the Curator Supervisor, ensures that the objects, exhibitions, and artifacts pertaining to space history are available to the general public including Museum visitors, Museum staff, Foundation members, friends, and national/international communities.

 Minimum Qualification

Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) years may substitute for the required education and experience.
 Employment Requirements
 
Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Must possess and maintain a valid New Mexico Driver's License.
 Working Conditions
 
This position requires the ability to visually inspect space history art and objects, artifacts of various shapes and sizes, as well as collections and archival materials. The Registrar must interact with the public, colleagues, and outside organizations in a professional and businesslike manner. Ability to work weekends, holidays, and evenings when necessary along with occasional travel by state vehicle for exhibition or collection-related projects as required by the Museum.
 
The position requires extensive computer use, data entry, and frequent telephone communication. Duties involve a combination of sitting and standing for extended periods, walking, squatting, and lifting objects weighing up to 40 pounds. Work is performed in both office and museum settings, including galleries, storage areas, and exhibit spaces. These environments may at times be dusty, dirty, or subject to varying temperatures, and may involve limited exposure to chemicals used in conservation. Employees must remain alert to safety procedures at all times, ensuring the well-being of themselves, coworkers, and visitors in changing work conditions.

 As part of Northwestern University in Qatar ( NU-Q) and its Media Majlis museum, the Curator of Collections Management will have Registrar and Preservation responsibilities &ndash; In coordination with the Museum&rsquo;s Curatorial and Digital Content teams, helps develop and realise exhibitions through registration, documentation, care and storage. Plans, organizes, implements and supervises all processes and procedures related to the organization of acquisitions, commissions, loans and licenses for exhibitions (on-site, off-site, and online) as well as packing, crating and shipping, storage, installation and deinstallation, insurance coverage, and risk management, for all digital and physical exhibition content, including on- and off-site digitization, and all communication with lenders.  Collections responsibilities &ndash; In coordination with the Museum&rsquo;s Curatorial and Digital Content teams, helps develop, evaluate, and enrich the Museum&rsquo;s digital collection&rsquo;s strategy and delivery. Responsible for developing and implementing collection policies and procedures through stewardship and management of the legal paperwork and individual item records, including CMS-DAMS (Qi), licensing and IP/Copyright management, and in line with Accreditation requirements, i.e. American Alliance of Museums (AAM) and the International Council of Museums (ICOM). Supports the Museum&rsquo;s mission through the commissioning and expansion of collections, and works to ensure content is accessible to the public through the development of a soon-to-be-launched online repository. This role supports the museum&rsquo;s AAM accreditation requirements by embedding preservation planning, documentation, and access into exhibition workflows from conception through deinstallation and beyond, and gives the Museum flexibility to utilise, reuse and preserve its exhibitions.
 
 
 Exhibition Touring responsibilities &ndash; In coordination with the Museum&rsquo;s Curatorial, Digital Content, and Technology &amp; Operations teams, helps develop, evaluate and deliver the incoming and outgoing touring strategy and works to manage touring opportunities for exhibition content and licensing. Responsibilities include the preservation of exhibition layouts, installation documentation, multimedia, software environments, interactive systems, interpretive content, and technical specifications, with particular attention to the sustainability and longevity of created content and digital works. Must have proven experience in touring management principles, procedures, policies, accrediting and logistics, and best practices for touring and licensing digital and physical artefacts, record keeping, technology and conservation within an art, media and technology museum or cultural setting. Demonstrated a strong international network of institutional partners and organizational skills and attention to detail. Must have the ability to multitask and meet deadline-driven projects.

 Organize and coordinate all acquisitions, commissions, and exhibition loans, including outreach to potential artists, studios, estates or lenders (individuals, companies, organizations, museums, archives, etc.); loans and licenses negotiations and contracts; appropriate due diligence, provenance research and investigation in compliance with the local and international laws and conventions related to cultural property; overseeing and advising on acquisitions process, appropriate copyright compliance and licensing; shipping, transport, courier needs, customs; insurance and compliance with internal and external policies. Collection care, onsite storage, exhibition display install and de-install; return of objects; and all associated paperwork and CMS-DAMS records in the Museum&rsquo;s master record retention system. Drafting, reviewing and regularly updating acquisitions procedure, forms, contracts, agreements, policies and collection management procedures.

 Coordinate and oversee digitization of objects and of exhibitions in appropriate formats (on-site and off-site, local and international) with associated metadata, storage facilities, copyright clearances, and communication with lenders in order to develop and delivery exhibition touring projects that supports the Museum&rsquo;s mission to provide access to information and collections to the public. Works with Curatorial and Digital Content teams to ensure proper setup of museum staging environment, from exhibition requirements through museum internal storage and CMS-DAMS (Qi). Responsible for the development and care of a dedicated online platform for digital artifacts and media productions, in collaboration with Digital Content and Technology Management Teams, and for licensing and IP/Copyright management.

POSITION QUALIFICATIONS/SPECIFICATIONS:</h1><ul><li>
High School Diploma/GED required; minimum of one year&rsquo;s college education required, bachelor&rsquo;s degree required, master&rsquo;s degree preferred.</li><li>
Minimum of two years' progressively responsible experience in a College/University Registrar's Office demonstrating leadership and supervisory skills, and thorough and proven proficiency with office practices, procedures and equipment required.</li><li>
Bilingual is a must.</li><li>
Experience with relational databases and related computer systems required, Datatel's Colleague&reg; preferred, SQL retrieval languages preferred; Word/Excel for Windows preferred.</li><li>
Attention to detail, excellent interpersonal and strong supervisory and organizational skills is needed to accomplish several ongoing assignments simultaneously.</li><li>
Must be a self-starter, able to work under pressure, coordinate daily operations and meet established deadlines.</li><li>

Ability to exercise critical human relations skills in establishing and maintaining effective working relationships with employees, students and the public.</li><li>

Job Summary</div>
Under the direction of the Patient Access Registration Front Line Manager, the Acute Care Hospital Registrar 1 is accountable to ensure a smooth timely registration/admission process by obtaining accurate individual demographic, clinical and insurance data; collecting co-pay/deductible, residual and prior balances, perform initial financial screening on all self-pay &amp; out of network patients and then referring them to the Financial Advisors as necessary while providing optimal customer satisfaction; reception; and provides patient way finding as required.<div>
Essential Functions</div><ul><li>
Greet customers promptly with a warm and friendly reception. Direct patients to appropriate setting, explaining and apologizing for any delays. Maintain professionalism and diplomacy at all times, following specific standards as defined in the department professionalism policy. Register patients for each visit type and admit type and area of service via EPIC (Electronic Medical Record- EMR). Collects and documents all required demographic and financial information. Appropriately activates converts and discharges visits on EPIC.</li><li>
Accurately and efficiently performs registration and financial functions to include: Thorough interviewing techniques, registers patients in appropriate status, following registration guidelines while ensuring the accurate and timely documentation of demographic and financial data; obtains the appropriate forms and scans into the medical record as per department protocol.</li><li>
Scrutinize patient insurance(s), identifies the correct insurance plan, selects appropriately from the EPIC and documents correct insurance order. Applies recurring visit processing according to protocol. May facilitate use of electronic registration tools where available (Kiosks, etc.).</li><li>
Verify patient information with third party payers. Collect insurance referrals and documents on EPIC. Communicate with patients and physician/office regarding authorization/referral requirements. Obtain financial responsibility forms or completed electronic forms with patients as necessary.</li><li>
Review/obtain/witness hospital consent forms, and Notice of Privacy Practices with patient/family. Screen outpatient visits for medical necessity. Provide cost estimates. Collects and documents Advance Directive information, educating and providing information as necessary. Collects and documents Medicare Questionnaire, issue Medicare Inpatient Letter &amp; Medicare Off-site Notifications as required by Government mandates. Scan appropriate documents. Manage all responsibilities within Compliance guidelines as outlined in the Hospital and Department Compliance Plans and in accordance with Meaningful Use requirements.</li><li>
Financial Advocacy: Screen all patients self-pay &amp; out of network patients using the EPIC tools. Provide information for follow up and referral to the Financial Advisor as appropriate. Initiate payment plans and obtain payment, Informs and explains to patients/families all applicable government and private funding programs and other cash payment plans or discounts. Incorporates POS (point of service) collection processes into their daily functions.</li><li>
May issue receipts and complete cash balance sheets in specified areas where appropriate. Utilize audits and controls to manage cash accurately and safely.</li><li>
Transcribe written physician orders, communicating with physician/office staff as necessary to clarify. Determine &amp; document ICD-10 codes. Performs medical necessity check and issue ABN as appropriate for Medicare primary outpatients. Note: excluding lab-only outpatients effective September.</li><li>
Affix wristbands to patients, prepare patient charts. Manage/prepare miscellaneous reports, schedules and paperwork. Maintain inventory of supplies.</li><li>
May facilitate scheduling in identified areas for ancillary testing.</li><li>
Mark duplicates Medical Records for merge: identify potential duplicate records to determine that the past and current records are truly the same. Utilize all system resources and contact patient if necessary.</li><li>
May act as a preceptor to a newer staff member.</li><li>
Maintains or exceed the department specific individual productivity standards, collection targets, quality audit scores for accuracy productivity, collection and standards for registrations/insurance verifications.</li><li>
Provide excellent service to our clinical and &ldquo;downstream&rdquo; departments and physicians as users of our registration services. Contribute to process improvement activities to support an efficient patient and process flow.</li><li>
Clerical duties including i.e., typing, filing, mailing, calling patients to form groups or to obtain case history, copying, faxing, receiving payments and funding applications.</li><li>
Maintains or exceeds the Corewell Health Customer Service Standards: Service, Ownership, Attitude, and Respect. Provide every customer with a seamless, flawless Corewell Health experience.</li><li>
