Job Duties</b></p>
<p>
To provide administrative support to the CCAP Referral Unit by reviewing intake information and applying established criteria to determine appropriate information is routed to the correct CCAP Referral Specialist. Assist with coordination of new intakes and transfers within CCAP. Conducts regular maintenance of the Referral Unit waitlist database, maintenance of the referral unit&rsquo;s various directories, provide phone coverage. Performs other duties as assigned. This position is responsible for taking prepared drafts of minutes during various meetings.</p>

Minimum Qualifications</b></p>
<p>
Experience providing administrative support in a fast‑paced, detail‑oriented environment, including reviewing and processing intake or case‑related information using established criteria. Applicants must demonstrate proficiency in data entry and database inquiry operations, along with strong working knowledge of Microsoft Office Suite&mdash;particularly Excel and Word. Experience coordinating workflows, managing waitlists or tracking systems, and maintaining directories or unit records is required. Candidates must be able to take accurate notes or minutes from prepared drafts during meetings and provide effective phone and customer service support. Strong decision‑making skills, the ability to work independently with minimal supervision, and excellent verbal, written, and interpersonal communication abilities are essential.</p>

Working knowledge of the criminal justice system, community corrections practices, or related human services environments. As an Office Specialist, you will provide essential administrative support to the assigned program or department. You will greet and assist clients and visitors, determine the purpose of their visit, and connect them with the appropriate staff in a professional and welcoming manner. Primary Duties</i></b></p>

<li>Operates telephone console to receive incoming calls; provides information to caller or routes caller to appropriate staff; places outgoing phone calls as needed.</li>
<li>Records accurate phone messages including name, time of call, nature of business and person called upon and delivers (via voicemail, email, etc.) to the appropriate party.</li>
<li>Checks Agency/program voice mail throughout the day and answers or directs messages to appropriate personnel (no voicemail at this time)</li>
<li>Performs clerical duties which include routine typing, filing, copying, faxing, completing and submitting Agency forms, data entry and distributing Agency communications.</li>
<li>Sorts and distributes incoming mail; prepares outgoing mail including internal office mail, external mail, overnight services, delivery services and registered mail. Assures adequate funding on postage meter at all times.</li>
<li>Assists in the maintenance of office equipment including computers, telephone systems, copiers, fax machines and other types of office equipment; calls for service when necessary.</li>
<li>Assists in assuring all safety and health standards are followed and responds to safety issues within the facility in a timely manner.</li>
<li>Develops and maintains administrative and clerical skills through seminars, workshops or other forms of training/education.</li>
