Operations Manager/ Executive Assistant Job DescriptionMcCarty Davis (MD) is Commercial Real Estate business located in San Luis Obispo, California. We engage in Sales, Leasing and Investments of Commercial Real Estate Properties throughout the Central Coast from Buellton to Paso Robles.Duties of the Operations Manager include providing support to our Brokers and agents, creation and upkeep of marketing materials, assisting in daily office needs, and managing our company&rsquo;s general administrative activities. Strong interpersonal skills for phone communications and client interactions.BROKER / AGENT SUPPORT (RESEARCH and TRANSACTION MANAGEMENT)<ul><li>Client and Listing Management: Create and maintain files for clients and listings including marketing and due diligence items</li><li>File Closings: Summarize all transactions, invoice for work performed, clean up files.</li><li>Contracts: Draft Letters of Intent and Contracts as needed</li></ul>MARKETING<ul><li>Marketing Material Creation: Responsible for creating marketing for listings including brochures, coordinating photography and signage installation</li><li>Web Site Updates: MD maintains a web presence on their own web site, the MLS, Loopnet, CREXI and Craigslist. Responsible to keep these sites updated including the creation of new listings, adding photographs and updating data as needed.</li><li>Email Campaigns: MD markets to our database of clients through an email campaign management program called Campaign Monitor. Position is responsible for creating email campaigns, scheduling and sending to prospects. Responsible for updating and/or deleting contact information for clients.</li><li>Social Media: Create and maintain a social media presence, including Instagram, Facebook and Linked-In.</li></ul>OFFICE ADMINISTRATIVE TASKS<ul><li>Database: Responsible for adding and updating entries into our database</li><li>Manage Office Workflow: Organization and maintenance of procedural workflows.</li><li>Invoicing: Keep a list of accounts receivable</li><li>Phones: Answer phones and take messages when in the office.</li><li>Filing: Create and maintain property files for listings and client files for searches. File papers as necessary</li><li>Errands: Run errands as necessary. Pick up Supplies.</li></ul>POSITION REQUIREMENTS<ul><li>Requires at least 2 years work experience in an administrative function within an office setting.</li><li>Experience in a Real Estate Firm is a plus, real estate license desirable.</li><li>Experience with Microsoft Word, Excel, Outlook, Google Suites and Photoshop/Canva is a plus. Operations Assistant Store Manager in Training (OASM-IT) will gain hands-on experience in the key responsibilities and functions of a Operations Assistant Store Manager at The Home Depot. The OAM - IT will undergo a comprehensive training program that includes hands-on experience, mentorship, and leadership development. Throughout their training, OAMs in Training will become familiar with Manager on Duty duties and learn to manage various aspects of the store, including associates, sales, customer service, safety standards, product availability, store presentation, and overall profitability. They will learn to oversee the smooth operation of several key areas, including the Customer Service Desk, Receiving, Tool Rental, Order Fulfillment, Lot Loaders, and the Back Office. OASMs in Training will collaborate with the Store Manager, Assistant Store Managers (ASMs), and operational field teams and learn to develop and implement strategies that boost sales and profitability, creating actionable game plans for departmental success, and ensuring smooth department operations. OASM - ITs are expected to lead by example. Additionally, they have a responsibility to uphold, maintain, and support all lawful company policies and positions. During the OASM-IT training period, which will be up to 6 weeks, you will be learning to execute OASM key responsibilities. 
 
Key Responsibilities:<ul><li>
50% Training and Preparing for Assistant Manager Position - Participate in a structured training program covering all aspects of retail store management, including operations, customer service, sales &amp; profitability, and company policies and procedures. Learn and demonstrate tactics to support key accountability: staffing and scheduling, identifying and resolving stock deficiencies, supervisor associates in selling behaviors, resolving customer issues and concerns, and supporting service needs for both installed sales/special orders and product sales. Learn and demonstrate the performance management process, to include review of associate performance and how to execute the associate disciplinary process when necessary. Complete all assigned training modules and assessments.</li><li>
15% Customer Experience - Supervising Associates in the selling effort and lead GET culture and set the example. Drive customer service and associate engagement through the store; ensure Customer concerns are solved effectively and take necessary actions to resolve situations promptly</li><li>
15% Sales and Productivity - Work with key partners to plan merchandise placement, signing and support stock integrity through inventory management. ASMs in Training will learn how to maintain and operate all store equipment and systems as well as how to manage daily financial operations.</li><li>
10% Operations Management - Perform Opening, Closing MOD and other whole store focus responsibilities. Adhere to all Company policies and procedures and hold associates accountable for following all Company policies and procedures. Command of store standard operating procedures (SOP&rsquo;s), especially those involving Safety compliance and learn tactics to maintain process accuracy and take steps to mitigate shrink.</li><li>
10% Safety - Ensure self and associates follow all safety and hazmat procedures and Safety Matters guidelines at all times.</li></ul>
