<div>PURPOSE OF POSITION:

The Senior Executive Assistant provides high-level administrative and operational support to the President &amp; CEO and Senior Vice President of Public Policy. This position ensures effective management of both leaders&rsquo; schedules, communications, and daily priorities, contributing to smooth operation of the executive and public policy functions of the Greater Omaha Chamber.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

Executive Support

1. Provide professional, confidential administrative support to the President &amp; CEO and SVP of Public Policy.

2. Manage complex calendars and scheduling, ensuring alignment of priorities and effective time management.

3. Anticipate scheduling conflicts and proactively resolve them; coordinate internal and external meetings.

4. Organize and prepare materials, briefings, and logistics for meetings, speaking engagements, and events.

5. Maintain a comprehensive awareness of upcoming commitments and deadlines; ensure timely follow-up on deliverables.

6. Coordinate travel arrangements, itineraries, and expense processing for the President &amp; CEO and Senior Vice President of Public Policy.

7. Handle phone calls, correspondence, and inquiries with discretion, prioritizing appropriately.

8. Maintain records of President&rsquo;s quarterly report items and interactions using GrowthZone CRM.

9. Represent the Chamber by maintaining and developing relationships with other Executive Assistants in the community.

Administrative Operations:

1. Manage daily administrative operations for the Office of the President.

2. Prepare correspondence, reports, and presentations as requested.

3. Maintain organized electronic and physical filing systems, ensuring easy access to information.

4. Coordinate meeting logistics, catering, room set up, and audiovisual needs.

5. Oversee expense reporting, purchasing, and budget tracking related to the Office of the President and Public Policy department.

6. Process invoices, reimbursements, and monthly credit card reconciliations.

7. Serve as the point of contact for internal and external stakeholders seeking access to executive leadership.

8. Participate in Chamber events and internal committees.

9. Coordinate meetings and records of GOC-related entities and foundations.

Event &amp; Meeting Coordination

1. Support President &amp; CEO participation in Chamber events, public policy and community engagements.

2. Manage RSVPs, registrations, and related logistics for executive participation in external events.

3. Assist executives with internal meeting coordination such as staff briefings, department updates, and cross-divisional meetings.

4. Greet executives&rsquo; visitors and arrange Chamber meeting rooms for meetings, forums, and engagements.

OTHER DUTIES AND RESPONSIBILITIES:

1. Attend/work a variety of Chamber events and represent the organization as needed at business and community programs/events.

2. Maintain strong, ongoing relationships with member companies Executive Assistants.

3. Represents the Chamber with professionalism and integrity.

4. Actively participate in Chamber staff activities and training to support a culture of inclusion and belonging.

5. Other duties as assigned.

FISCAL RESPONSIBILITY:

All expenditures require final approval of the President &amp; CEO.

QUALIFICATIONS:

Education and related work experience

1. Associate degree required; Bachelor&rsquo;s degree in business administration, management, marketing, political science, communications, education, or related field preferred.

Essential Responsibilities:</h4>
Administrative Duties:<ul><li>
Act as liaison between President/CEO and stakeholders, clients, constituents, staff, and the ACCA Board of Directors.</li><li>
Manage the President/CEO&rsquo;s administrative tasks, including managing the appointment calendar, email communication and updates, and expense reports and files.</li><li>
Schedule Leadership Team and Program Director routine meetings and prepare agendas and notes. Attend Leadership Team meetings to record key decisions and action items.</li><li>
Reserve meeting rooms, provide refreshments for meetings, and provide general clerical support to prepare for meetings and events.</li><li>
Compose, prepare, and maintain correspondence involving complex and non-routine matters as instructed by the President/CEO and Leadership Team.</li><li>
Assist the President/CEO and Leadership Team with preparing for community presentations.</li><li>
Liaise with key program staff to coordinate special projects as directed by the President/CEO or Leadership Team.</li></ul>
Board of Directors Support:<ul><li>

Second Harvest Food Bank of North Central Ohio, a non-profit organization, grows hope in our region by creating pathways to nutritious food. Second Harvest secures and distributes nearly 12 million pounds of food and grocery products annually and works in partnership with 127-member partner charities and 10+ school districts, including food pantries, hot meal programs, emergency shelters, mobile pantries, senior food delivery, food is medicine and after-school programs throughout Crawford, Erie, Huron and Lorain counties.
The Executive Assistant &amp; Special Projects serves as a strategic partner to the President &amp; CEO and the Board of Directors. Support scheduling and preparation for leadership meetings, including securing locations and assembling materials.</li><li>

Position Description
The Executive Assistant and Board Liaison provides administrative support to the President and CEO of the Library Foundation of Los Angeles and serves as the primary point of contact to the LFLA Board of Directors. This role drives efficiency and organization for the President and CEO&rsquo;s office. As a liaison to our nearly 40 high-profile Board members, this individual will plan and execute multiple hybrid and in-person meetings on a quarterly basis. You will work in a hybrid capacity, mirroring the President&rsquo;s schedule that is typically at least 3 days/week onsite at the downtown LA office and 2 days or fewer remotely.
 A successful candidate will be able to identify and solve problems independently, displaying a high degree of initiative and a proactive mindset. This is an ideal role for an experienced and highly competent professional who is passionate about nonprofit management and serving the Los Angeles community. You will work at the highest level of the organization, contributing your administrative excellence and board liaison expertise while gaining insight into all departments and functions overseen by the President and CEO. 
Responsibilities
Executive and Administrative Support<ul><li>
Manage administrative tasks for the President and CEO, including complex calendar management, meeting coordination, expense reporting, and document organization.</li><li>
Prepare meeting materials in advance, including agendas, briefing notes, and background research for meetings with staff, Board members, donors, and external stakeholders.</li><li>
Draft and manage executive correspondence on behalf of the President; serve as a liaison to internal departments and external partners as appropriate.</li><li>
Assist with planning and execution of virtual and in-person meetings and events, including fundraising and donor engagements.</li></ul>
Board and Governance Support (Board Liaison)<ul><li>
Prepare and manage official Board and Committee correspondence; serve as a primary point of contact for Board-related matters.</li><li>
Coordinate Board and Committee meetings, including agenda development, material collection, OnBoard board book creation, and accurate meeting minutes.</li><li>
Support Board governance processes, including member terms, COI forms, committee documentation, charters, policies, and orientation materials.</li><li>
Assist with Board recruitment, nomination, onboarding, and ongoing engagement processes in coordination with leadership and Development.</li></ul>
Strategic and Organizational Support<ul><li>
Act as a trusted partner to the President and CEO by anticipating needs, prioritizing requests, and exercising sound judgment in managing competing demands.</li><li>
Triage and manage communications directed to the President&rsquo;s Office, determining appropriate next steps and escalation as needed.</li><li>
Track organizational priorities, timelines, and deliverables to support follow-through on CEO-led initiatives.</li><li>
Prepare high-quality written materials, including briefing memos, talking points, and presentation decks for executive, Board, donor, and public engagements.</li><li>
Support annual planning cycles and major organizational initiatives (e.g., Central Library Centennial).</li><li>
Other duties as assigned.</li></ul>
Requirements:
<ul><li>Minimum of 8&ndash;10 years of experience supporting a CEO or senior executive, preferably in a nonprofit, government, or mission-driven organization.</li><li>
Demonstrated experience managing complex, dynamic calendars and competing priorities with minimal supervision.</li><li>
Exceptional executive-level writing, editing, and communication skills.</li><li>
Strong organizational awareness, sound judgment, and discretion when navigating leadership dynamics and handling confidential or sensitive matters.</li><li>
Proven ability to work independently, anticipate needs, and operate with a high degree of professionalism and accountability.</li><li>
Experience coordinating high-profile meetings, events, and Board processes.</li><li>
Familiarity with nonprofit governance and Board best practices.</li><li>
Experience partnering with Development teams on donor engagement and fundraising operations (preferred).</li><li>
High proficiency with Microsoft Office and collaboration tools; experience with Raiser&rsquo;s Edge, OnBoard, Adobe products, or similar systems preferred.</li></ul>
