Post the meeting, distributes meeting minutes and notes to all attendees.</li><li>Prepares client credit request letters as directed by the President and/or Vice President, monitors return of requested information and submits to the President for approval.</li><li>Prepares subcontracts and office generated purchase orders per Project Manager&rsquo;s direction.</li><li>Maintains a system to ensure timely receipt of job-specific insurance certificates, current tax exemption certificates, and other related documentation.</li><li>As appropriate or instructed by the Project Manager, assists in ensuring that all project contracts and subcontracts are executed before work begins.</li><li>Works with the Project Manager to assist with ensuring that all permitting requirements are obtained.</li><li>Works with Estimator and Project Manager to develop schedule of values, and directly responsible for drafting said schedule of values.</li></ul>Change Management<ul><li>Assists the Project Manager in producing, and issuing Request for Changes (RFCs) per Company SOPs.</li><li>Ensures that RFCs are properly entered into the ComputerEase system and tracked for reply. What You Will Be Doing:

Reporting to&mdash;and working closely with&mdash;the Group Managing Editor, the Editorial Project Assistant plays a pivotal role at the center of publishing operations. This individual will coordinate with editorial, design, and production teams to support the accurate and timely execution of all New York&ndash;based book projects.<div></div><div><div><div><div> 
Position Specifics<div>
Key Responsibilities:</div><ul><li>
Ensuring the timely archiving and processing of all budgets, proposals, and book records in the Title Management system and on internal servers.</li><li>
Creating, tracking, and managing metadata needs while liaising with metadata and copy managers, the marketing team, and acquiring editors.</li><li>
Thoughtfully contracting and managing schedules for external freelancers, including copy editors, proofreaders, sensitivity readers, indexers, and technical editors.</li><li>
Managing and archiving book contracts and financial paperwork (work‑for‑hire agreements, author and illustrator contracts, designer paperwork, etc.).</li><li>
Overseeing visual asset management within the Title Management system, as well as maintaining sales materials and book archives.</li><li>
Requesting and coordinating Library of Congress and Copyright Office data, mailings, and communications.</li><li>
Providing editorial support during title development, including photo research, creating art logs, inserting artwork into manuscripts, building book maps, generating barcodes, and collating proofreader marks.</li><li>
Supporting the publisher and sales teams by creating sales presentations, arranging sample mailings, printing spreads, preparing for book fairs, and assisting with contract and proposal drafting.</li><li>
Assisting the Group Managing Editor as needed, which may include book pass routing, attending internal editorial/design/production meetings, managing author mailings, and contributing to content creation.</li></ul>
Required Skills, Knowledge, and Abilities<ul><li>
Strong ability to digest, organize, and track large amounts of data&mdash;especially as it relates to timelines and schedules.</li><li>
Ability to manage multiple projects simultaneously and prioritize effectively under tight deadlines.</li><li>
Adaptability and comfort working across multiple imprints and a wide range of subject areas.</li><li>
Proficiency with both Mac and PC operating systems, including key programs such as Adobe Creative Suite, Excel, and Outlook.</li><li>
Strong communication skills with the ability to respond quickly and clearly across digital platforms (e.g., Teams, Zoom).</li></ul><div>
Preferred (But Not Required) Skills:</div><ul><li>
Familiarity with publishing best practices across editorial, design, and production.</li><li>
Knowledge of the Chicago Manual of Style.</li></ul><div>
Education and Experience:</div><ul><li>
Bachelor&rsquo;s degree in a related field.</li><li>
Minimum of 2 years of administrative experience preferred, though not required.</li></ul>

<div>Duties
<ul><li>Champions &ldquo;The Layton Way&rdquo; by delivering predictable outcomes for internal teams, external teams, and customers.
</li><li>Ensures that &ldquo;Constructing with Integrity&rdquo; is delivered by working with honesty, unity, safety, and quality of work.
</li><li>Assembles, compiles, and/or prepares the following documents to ensure efficient and complete documentation for construction projects: contracts, purchase orders, owner pay requests, project insurances, bonds, Notices of Commencement, legal documents required for project start/completion, warranties, owners&rsquo; operations and maintenance manuals, and as-built drawing for closeout; monitors and enforces legal and insurance compliance with respect to all required construction paperwork, including paperwork required in-house.
</li><li>Ensures timely responses from subcontractors for contract paperwork.
</li><li>Creates and maintains project checklist.
</li><li>Works with the Superintendent establishing dates for receiving shop drawings and milestones necessary to complete the project on time. Follows up for review and approval for shop drawings, samples, material lists, etc.
</li><li>Maintains logs reflecting the status of shop drawings, requests for clarification, change requests, and proposal requests.
</li><li>Distributes change requests and follows up for pricing changes.
</li><li>Instructs project team in organized filing system and assures its proper use.
</li><li>Prepares agendas and other preconstruction meeting documents.
</li><li>Records and/or transcribes minutes at the preconstruction meeting.
</li><li>Prepares and issues change orders to subcontractors and owners for extra work performed on the project.
</li><li>Assists in estimate and buyout of projects.
</li><li>Coordinates with project managers to increase understanding of projects and to improve the quality of the project paperwork.
</li><li>Discusses and coordinates personal and project goals, important issues, and objectives.
</li><li>May administer contracts and purchase orders as assigned by leadership.
</li><li>Assists in establishing OCIP or CCIP program per contract requirements. Maintains required documents for program.
</li><li>Drafts, transmits, and files correspondence.
</li><li>Assists in bidding and in developing scope of work for trade contractors.
</li>Performs other related duties as assigned.

<ul><li>High school diploma or equivalent.
</li><li>Types a minimum of 50 wpm.
</li><li>Has at least 2 years&rsquo; experience in secretarial or administrative work.
</li><li>Has a working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook and is able to create basic documents and spreadsheets using each application.
</li><li>Has excellent written and verbal communication skills.
</li><li>Has excellent organization skills; develops systems that provide access to information with the ability to retrieve and deliver required information effectively.
</li><li>Has the ability to handle multiple tasks simultaneously; can establish priorities and an effective course of action.
</li><li>Has the ability to accomplish routine tasks.
</li><li>Is a team player; works well with other people; takes time to help co-workers, customers, and others achieve their goals and assignments.
