What your day to day will look like:
Planning &amp; Execution (Data)<ul><li>
Take the systems innovation strategy and tech plan and work with the Smart Buildings, Systems Performance manager to bring it to reality.</li><li>
Identify data sources, check their validity and work with the supply chain to unify data into relevant and accurate data insight.</li></ul>
Planning &amp; Execution (Projects)<ul><li>
Support the Project Delivery Manager by developing and maintaining detailed project trackers for the programme, including milestones, dependencies, actions and decision points. Coordinate inputs from service partners and internal stakeholders to keep trackers current and identify blockers early.</li><li>
Ensure robust governance is in place so project status, decisions, approvals and changes are well documented and aligned to strategic direction.</li></ul>
Budget &amp; Financial Management<ul><li>
Report on project progress, highlighting achievements, upcoming milestones, and potential risks.</li><li>
Proactively identify and flag programming and cost issues against the established baseline.</li><li>
Collate and issue detailed information to procure projects and ensure they meet the requirements</li></ul>
Governance
<ul><li>Ensure Data Governance</li><li>
Maintain and support the project governance frameworks, ensuring all project documentation is correctly managed.</li><li>
Report on Licence to Alter (LtA) works to ensure occupier fit outs meet building design requirements.</li><li>
Maintain the suite of Occupier Guides for fitout and construction works, ensuring they remain current and clear and support the brand of 22 Bishopsgate</li></ul>
Statutory Compliance and Health &amp; Safety<ul><li>
Maintain organised and auditable records to demonstrate that all projects are delivered in accordance with the Construction and Design Management Regulations 2015.</li><li>
Support the Business Manager with the Health and Safety committee by preparing agendas, reports, and minutes and following up on actions</li><li>
Ensure that ad hoc safety inspections and reports are completed</li></ul>
Stakeholder Management<ul><li>
Take highly technical building performance information and produce easy to read, engaging reports for leadership, clients, and stakeholders.</li><li>
Act as a key support for the Engineering Team through coordinating the day-to-day delivery of information for internal and external stakeholders</li></ul>
Resource Optimisation &amp; Service Partner Leadership<ul><li>
Regular audits of supplier performance against specifications issued. Ensure supply chain is current and approved</li><li>
Support the contract governance process by tracking key deliverables and service level agreements.</li></ul>
Innovation &amp; Future Planning<ul><li>
Identify and propose opportunities to enhance reporting through improved data visualisation and automation.</li><li>

Skills &amp; Experience

The HR Coordinator plays a pivotal role in supporting the EMEA HR department through a range of administrative and operational activities. This position is essential for ensuring the smooth and efficient delivery of HR processes and contributing to a positive employee experience. The role is dynamic and fast paced, requiring adaptability and the ability to collaborate with employees, managers, and HR professionals across different functions and countries.

This is a varied coordination role that requires initiative, strong communication skills, and a proactive and solutions-focused approach. You should be comfortable working with multiple priorities, navigating changing demands, and supporting the accurate and efficient delivery of HR processes and documentation. 


Key Responsibilities
<ul>
<li>Manage the EMEA HR inbox, responding to routine queries and escalating complex issues to the relevant HR team member as appropriate;</li>
<li>Support managers by providing guidance and support on HR policies, processes and procedures across the employee lifecycle;</li>
</ul><ul><li>Maintain and update HR template letters and documentation;</li>
<li>Coordinate onboarding and offboarding processes, ensuring a smooth employee experience;</li>
<li>Contribute to the planning and delivery of induction and orientation sessions;</li>
<li>Support probationary processes by tracking timelines, flagging issues, and ensuring appropriate follow up actions are taken;</li>
<li>Assist with Employee Relations processes, including setting up meetings, preparing documentation, and taking notes during meetings and investigations;</li>
<li>Act as key HRIS user supporting data accuracy, running periodic reports, and assisting regional teams where needed;</li>
</ul><ul><li>Support HR, payroll, and benefits administration processes as required;</li>
<li>Assist in managing family friendly leave processes including maternity, paternity, shared parental leave, and adoption leave;</li>
<li>Collaborate with other HR colleagues on projects and wider team initiatives;</li>
<li>Maintain strict confidentiality and professionalism in all HR matters;</li>
<li>Undertake additional duties and support ad hoc HR projects as required.</li></ul> 


Skills and Experience

ESSENTIAL
<ul>
<li>Proven experience in an HR Coordinator, HR Operations, or similar administrative role;</li>
<li>Familiarity with HR systems and core HR processes;</li>
<li>Exposure to employee relations matters with the ability to provide administrative and coordination support;</li>
<li>Good understanding of UK Employment Law;</li>
<li>Strong stakeholder management and relationship building skills across multiple levels of an organisation;</li>
<li>Highly organised with strong planning skills, attention to detail, and the ability to manage competing priorities and deadlines;</li>
<li>Proactive, solutions-focused approach with the ability to adapt to changing priorities and ambiguity;</li>
<li>Comfortable working within a multicultural and fast-paced environment;</li>
<li>Strong communication skills, with the ability to work independently and as part of a team;</li>
<li>Competent in Microsoft Office (Word, Excel, PowerPoint, Outlook).</li></ul> 


DESIRABLE
<ul>
<li>Fluency in a European language (particularly German, French, Spanish or Dutch);</li>
<li>CIPD Level 3 (or working towards);</li>
<li>Degree in HR, Business, Administration, Psychology, Languages, Psychology or related field (or equivalent experience);</li>
<li>Awareness of International Employment practices and working across multiple jurisdictions;</li>
<li>Experience of working in a highly confidential environment.</li></ul>

What your day to day will look like:
Planning &amp; Execution
<ul><li>Review high-level and detailed contractor performance dashboards to identify trends and anomalies for discussion from a client perspective.</li><li>
Provide regular feedback to the contractor on performance communicating improvement opportunities.</li><li>
Issue combine team performance reporting for senior leadership to understand building performance data metrics</li><li>
Work with specialist service partners on areas requiring deeper investigation and formal reporting.</li><li>
Ensure that all engineering information is up to date and structured in a way that supports a data led environment</li></ul>
Health &amp; Safety<ul><li>
Manage the day-to-day operation of the Permit to Work system, from issuance to closure from and engineering perspective.</li><li>
Conduct a schedule of on-site safety audits to ensure contractors are adhering to their approved RAMS and provide due diligence as part of the managing agent oversight.</li><li>
Investigate all incidents from an engineering perspective and build a programme of continuous improvement.</li></ul>
Budget &amp; Financial Management<ul><li>
Produce the monthly analysis of service partner cost reports against the budget, providing variance commentary.</li><li>
Ensure the end-to-end purchase order process for the engineering team is well reported on from creation and approval to final reconciliation against invoices is accurate and timely</li></ul>
Governance
<ul><li>Coordinate the engineering statutory compliance programme for the engineering team ensuring data is available and meets expectations</li><li>
Ensure a full set of Risk Assessments are fully maintained for the Engineering function.</li><li>
Ensure all contractor certification is received, validated, and filed correctly post-inspection.</li></ul>
Stakeholder Management<ul><li>
Act as a point of contact for all day-to-day communication with technical service partners and consultants.</li><li>
Ensure engineering matters are communicated to occupiers and all other stakeholders ina timely manner working with the operations and culture team to ensure they meet the required standards</li><li>
Manage the flow of information between project teams and M&amp;E contractors, ensuring alignment during change works and ongoing engineering operations.</li></ul>
Resource Optimisation &amp; Service Partner Leadership<ul><li>
Schedule monthly technical performance meetings with service partners. Ensure reports fully report on performance using specific measures and include labour</li><li>
Manage contractor performance against contractual SLAs and KPIs, issuing formal notifications of performance.</li></ul>
Innovation &amp; Future Planning<ul><li>
Actively seek emerging Engineering and smart building solutions for their commercial viability and potential ROI.</li><li>
Support the development and writing of business cases for technology pilot projects.</li></ul>
Sustainability<ul><li>
Interpret high-level and detailed energy reports from the building and ensure the data accuracy and timeliness of the reports. Support the SEM engaging with occupiers to optimise their consumption</li><li>
Ensure each of the service partners delivers on their ESG commitments, ensuring waste is kept to a minimum.</li></ul>
Skills &amp; Experience
