Position Summary
The Property Administrative Assistant provides day-to-day administrative support for property management operations. ASSISTANT COMMUNITY MANAGER
The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. As the Assistant Community Manager, you will play a vital role in the delinquency and collection of rent to optimize the property's cash flow and financial position. As an Assistant Community Manager, you will manage all phases of the operations, including personnel, leasing, maintenance, financial, administration &amp; risk management in the absence of the Community Manager. Essential Duties &amp; Responsibilities 
Financial Management<ul><li>
Responsible for posting all payments and income received from all applicants, current residents, and non-current residents accurately, timely, and efficiently.</li><li>
Responsible for processing and reconciling daily all account receivables.</li><li>
Monitor and follow up on bad debt to include preparation of late notices, resident and guarantor contact, and filing evictions.</li><li>
Responsible for helping the property meet budgeted revenues, expenses, and Net Operating Income.</li><li>
Responsible for posting of all charges to resident and non-current resident accounts; to also include bill back of utilities where applicable.</li><li>
Responsible for all end-of-the-month closing procedures and reporting.</li><li>
Maintain accurate and organized records; audit resident files to ensure accurate records.</li><li>
Responsible for walking units and posting all move-out charges, statements, and security deposit refunds.</li></ul>

 Responsibilities
 
 
 <ul>

 Liaise with UAE government authorities including GDRFA, MOHRE, ICP, Department of Economic Development (DED), and other relevant entities.
 </li>
 <li>
 Coordinate with employees and internal departments to process, renew, and cancel visas, medical insurance, labor cards, Emirates IDs, work permits, and other related government documents.
 </li>
 <li>
 Assist in visa applications, renewals, cancellations, and labor-related transactions in compliance with UAE regulations.
 </li>
 <li>
 Follow up on trade license renewals, permits, approvals, and expiry schedules to ensure timely compliance.
 </li>
 <li>
 Track license validity, renewal timelines, and compliance calendars.
 </li>
 <li>
 Archive and maintain government contracts, licenses, approvals, and official documentation in both physical and digital formats.
 </li>
 <li>
 Prepare and submit regular reports and compliance updates to management.
 </li>
 <li>
 Coordinate with HR, Finance, and Administration departments to ensure smooth governmental processing.
 </li>
 <li>
 Support audits, inspections, and official visits when required.
 </li>
 <li>
 Ensure confidentiality, accuracy, and proper handling of sensitive information.
 </li>

 Requirements &amp; Qualifications
 
 
 <ul>
 <li>
 Diploma or Bachelor&rsquo;s Degree in Business Administration or a related field is preferred.
 </li>
 <li>
 Minimum 2&ndash;4 years of experience as a PRO Assistant or in a similar role within the UAE.
 </li>
 <li>
 Strong knowledge of UAE government authorities and systems, including GDRFA, MOHRE, ICP, DED, and related portals.
 </li>
 <li>
 Proven experience in tracking licenses, managing expiries, and maintaining compliance records.
 </li>
 <li>
 Fluency in Arabic and English (spoken and written) is mandatory.
 </li>
 <li>
 Excellent organizational, communication, and documentation skills.
 </li>
 <li>
 Ability to manage multiple tasks, prioritize effectively, and work under pressure.
 </li>
 <li>
 Proficiency in MS Office and reporting tools.
 </li>
