 The Receptionist reports to the Showroom Manager and provides administrative support to all Central Services and Support Operations of the Automotive division of Alghanim Industries.
 Job Responsibilities
 Welcomes customers and direct them to the appropriate representative
 Responsible for maintaining all files
 Arranging and coordinating the manager's schedule
 Coordination of all archive support for Automotive division
 Writing and translating all facility correspondence (Arabic and English)
 Organizing travel and hotel accommodation for all managerial staff
 Responsible for preparing employees change of status forms
 Coordinating with HR office on all personal matters relating showroom staff
 
Handling all incoming and outgoing mail for the manager
 Candidate Requirements

What you will do
<ul><li>Welcome, assist and escort guests/clients as it pertains to the spa, fitness and other areas within the hotel (inclusive of outdoor pool).

Candidate Check-in and Verification<ul><li>Greeting Candidates: Welcome candidates upon arrival for their IELTS Speaking Test (General or UKVI) in a warm and professional manner.</li><li>Check-in Process: Verify the identity of each candidate by checking their identification documents in compliance with IELTS requirements. This includes taking biometrics (photograph, fingerprint scan, and signature) and verifying the passport details. Guide candidates through the check-in process to ensure a smooth flow to the designated testing area.</li></ul>2. Biometrics and Documentation<ul><li>Take the necessary biometrics for each candidate (photo, finger scan, and signature) to verify their identity.</li><li>Ensure that all necessary documents are submitted and verified before allowing candidates to proceed with the exam.</li><li>Maintain accurate records of all sign-in and sign-out procedures for both candidates ensuring that this information is up-to-date and properly stored.</li></ul>3. Speaking Test Examiner Administration<ul><li>Ensure that Speaking Examiners sign in and sign out as per the required procedures.</li><li>Collect the necessary materials for the Speaking Test (e.g., examiner packs, Speaking Evaluation Records (SER), voice recorders, stopwatches from the IELTS administration office and return them promptly after the test. Ensure all items are stored securely.</li></ul>6. Handling Reschedules, Late Arrivals, and Test Changes<ul><li>Make phone calls to inform candidates of test time changes.</li><li>Assist candidates with any delays or issues regarding late arrivals, ensuring compliance with test policies while maintaining a calm environment.</li></ul>7. Customer Service<ul><li>Provide excellent customer service to candidates, responding to inquiries about test procedures, schedules, or other general concerns.</li><li>Contact candidates who have unpaid fees and assist with payment arrangements or address any issues regarding their registration.</li></ul>8.
