For over 30 years, New Season Treatment Centers have been a leading national health care service provider of outpatient treatment centers that specialize in providing safe, quality and best in class care for individuals living with Opioid Use Disorder (&quot;OUD&quot;).
Operating in over 70 treatment centers in multiple states, our team members are engaged in medication-assisted treatment, counseling, support, and care management of individuals living with OUD. We treat the whole person and, in so doing, address the underlying causes of OUD in an effort to provide a continuum of care that not only addresses treatment needs but supports the patient on their journey to recovery.
Job Summary:
This position is responsible for performing clerical and administrative services in greeting, registering, and admitting patients, in a healthcare facility. Also, responsible for identifying the best methods to schedule patient appointments accordingly. 
Essential Functions:
Complete the pre-registration process for all new clients and schedule appointments accordingly, including orientation of new patients, monitoring all patient activities on center premises, and providing customer service as a point of contact for patient inquiries, as applicable. Collects co-payments and patient financial responsibility at the time of service. Ensures that all necessary demographics, billing, and clinical information obtained has been entered in the registration system with timeliness and accuracy. Maintain strong communication with Program Director, physicians, and other nursing staff regarding intakes. Verify insurance benefits and obtain prior authorization as necessary. Complete Administrative tasks including answering phones, check and deliver mail, maintain supply inventory, anticipate supply needs, order supplies, and verify receipt of supplies, as applicable. Maintains confidentiality and safeguards the operations of the business. Keep lines of communication open with the Clinic Operations Team to ensure individualized goals are met. Adheres to the service policy and principle of CMG/New Seasons. Other duties assigned.

ESSENTIAL FUNCTIONS:

Serve as the initial and primary point of contact for clients prior to and upon arrival for intake appointments.</li><li>
Perform reminder calls to clients prior to schedule intake date, to confirm client's anticipated arrival and identify any barriers to conversion. Re-schedule intake appointments upon request with approval.</li><li>
Greet all visitors and professionally represent the organization through written correspondence, telephone and personal contact.</li><li>
Provide personalized support and concierge level service for clients during their journey to recovery.</li><li>
Review client financial responsibility and facilitate conversations related to pay source and funding. Provide financial counseling for clients while exploring funding options to support care.</li><li>
Manage client portal accounts within the electronic health record including reminders, messages, appointment requests and documents.</li><li>
Complete daily, weekly and monthly reporting client conversion rates, and outcomes for any client not accepted for admission to the program, and intakes that are not completed. Report daily facility status update, including census information, number of admissions, discharges, and total number of active clients in the facility, and require documentation due dates. Generate statistical reports from databases when necessary for facility management and corporate office.</li><li>
Develop, collaborate and maintain excellent communication with referral sources, including all legal and criminal justice systems, outreach managers/business development managers and community partners in conjunction with the access center. Review and assist with the wait list managed by Access Center as needed. Communicate client priority population status aligned with Cenikor policy and procedure.</li><li>
Assess client access barriers, and consult with the corporate office, Manager, Access Center and Admissions /Facility Director, and Access Center to reduce impediments to treatment. Provide information for appropriate outside referrals for any client not accepted for admission to the program as applicable.</li><li>
Work closely with the Clinical Team, Utilization Review, and Facility Director to ensure accurate and timely communication of client information required to facilitate successful authorization during the utilization review process.</li><li>
Provide effective communication to client/family, team members and other health care staff regarding benefits, appointment scheduling, client responsibility via email, client portal or other means; provide proper forms for financial responsibility, self-pay clients, payment arrangements and/ or payments due at intake.</li><li>
Coordinate scheduled intakes with scheduled discharges to drive maximum use of program or bed capacity. Collaborate with access center team to ensure adequate calendar availability to permit access to all persons interested in admission to Cenikor. Coordinate intake appointments or other calendar appointments for the Counselors/Clinical Manager/Nurse Manager with Access Center.</li><li>
Ensure clients initiating communication are contacted within the set required timeframe and intakes are completed as appropriate.</li><li>
Manage intake and registration process, ensuring appropriate screening and interviewing, accurate completion of all registration documentation with clients as necessary for admission to the program. Review client portal documentation and consents prior to client arrival for availability.</li><li>
Review and/or complete all consents with clients. Update client pending status in Welligent to reflect active, and complete enrollment in CMBHS, if applicable.</li><li>
Coordinate facility tour and introductions with Behavioral Health Technicians. Ensure a review of safety protocols, and fire exit locations is completed with the client during the tour.</li><li>
Develop and maintain processes with insurance department to maximize revenue, including initiating contact with insurance billing department to coordinate collection of client responsibility.</li><li>
Maintain patient records by obtaining, recording, and updating personal and financial information in Welligent as well as CMBHS, if applicable, for monthly reporting and appropriate billing and authorization purposes.</li><li>
Responsible for understanding 3rd party payor process related to verification, authorization and reauthorization as well as client responsibility and collections. Work with insurance and billing department to actively manage 3rd party payor clients to ensure quality client care and fiscal responsibility, as appropriate.</li><li>
Uphold the core principles of Cenikor's culture and create a positive working environment for all team members.</li><li>

Essential Job Functions:

1. Supports achievement of key metrics ensuring delivering of a seamless, exceptional student and patient experience across a broad range of processes, applications and customer touch points including voice, email, web chats, texts, and faxes. 
 
2. Helps the Admissions, Enrollment, Registration and Financial Aid processes to address student's reason(s) for their inquiry, answer questions, and assist with students in obtaining services needed.

7. Routes and re-routes students to appropriate campus office and personnel, e.g., Financial Aid, Academic Advisors, Registrar, and Business Office for more in-depth information, assistance, and problem resolution. 
 
8. Schedules patient appointments for both primary and specialty care physician visits in accordance with established clinical and insurance requirements to improve access and care coordination. 
 
9. Accesses Electronic Medical Records (EMR) to complete scheduling and registration, confirm appointments, verify information, answer inquiries, and resolve user issues in accordance with established protocols to ensure patient safety, compliance, and departmental policies and procedures. 
 
10. Identifies patient&rsquo;s liability, out of pocket expenses, and advise patients of past due balance. 
 
11. Coordinates referrals and insurance requirements by obtaining and/or confirming patient information to ensure the patient receives maximum benefits for services. 
 
12. Assures regulatory and compliance requirements follow local payor coverage determinations. 
 
13. Ensures accurate pre-appointment registration. 
 
14. Explains policies, procedures, or services to patients using medical or administrative knowledge. 
 
15. Refers patients to appropriate health care services or resources. 
 
16. Ensures compliance with university and departmental policies and procedures as it relates to personal information, adherence to Health Insurance Portability and Accountability Act (HIPAA) to always safeguard protected personal and health information (PHI). 
 
17. Uses telephony software to answer, coordinate, track, and monitor interactions across multiple channels of communication. 
 
18. Refers patients to appropriate health care services or resources; refers unresolved customer grievances to designated departments for further investigation. 
 
19. Checks to ensure that appropriate actions were taken to resolve customers' problems. 
 
20. Demonstrates University's core values and service values in all interactions. 
 
21. Completes special projects as assigned.

Major (if required:

Required Experience: One (1) year of customer service experience. 

Preferred Qualifications:

1. Associate or Bachelor's degree. 
2. One year of customer service experience in higher education, student services, and/or healthcare, or closely related experience. 
3. Knowledge of all academic and Title IV programs, policies and procedures including institutional policies and federal and state regulations. 
4. Experience using Banner, Recruit and/or Avaya systems. 
5. Knowledge of medical terminology and terminology used by insurance and managed care health plans. 
6. Knowledge of Health Insurance Portability &amp; Accountability Act (HIPAA). 
7. Experience using NextGen and/or Avaya systems. 
8. Bilingual Proficient in English and Spanish.
