Position Summary
This position provides support to the Private Events Department in the capacity of day of event support, basic administrative tasks, general maintenance, cleaning and setting up facilities and equipment for events. The Assistant to the Provost plays a key role in ensuring the smooth daily functioning of the Cathedral office while embodying hospitality, professionalism, discretion, and a collaborative spirit.The ideal candidate is proactive, adaptable, technologically competent, and able to manage multiple priorities with grace and efficiency.Core ResponsibilitiesAdministrative Support to the Provost<ul><li>Manage and maintain the Provost&rsquo;s calendar, scheduling meetings, events, and appointments with attention to priorities and pastoral sensitivities.</li><li>Manage correspondence, reports, memos, newsletters, and official communications.</li><li>Assist with preparation of materials for meetings, Chapter gatherings, fund raising, and special events.</li><li>Maintain confidential files and records with discretion and accuracy.</li><li>Track deadlines and follow up on action items on behalf of the Provost.</li></ul>Clergy and Support Staff<ul><li>Provide assistance and scheduling to clergy and staff for liturgical services, weddings, funerals, baptisms, and special events.</li><li>Assist with preparation of worship bulletins, service materials, and printed documents incollaboration with clergy and music staff.</li><li>Coordinate facility use schedules and assist with event logistics</li><li>Maintain parish database records and membership information.</li><li>Assist in communication with volunteers and ministry leaders.</li></ul>Office Management &amp; Operations<ul><li>Serve as first point of contact in the Cathedral office, offering a welcoming and professional presence to parishioners and visitors.</li><li>Answer phone calls and respond to general email inquiries.</li><li>Maintain office supplies and coordinate orders as needed.</li><li>Assist in maintaining organized digital filing systems and cloud storage.</li><li>Support financial and administrative processes in coordination with Cathedral accounting staff.</li><li>Help manage facility requests, contracts, and documentation.</li></ul>Communications &amp; Projects<ul><li>Assist with e-News preparation, website updates, and social media scheduling as needed.</li><li>Support special initiatives such as capital campaigns, Cathedral celebrations, community partnerships, and major Cathedral events.</li><li>Help coordinate invitations, printed materials, and donor correspondence.</li><li>Maintain updated contact lists and communications databases.</li></ul>Qualifications<ul><li>Associate&rsquo;s or Bachelor&rsquo;s degree preferred</li><li>2+ years of administrative or executive assistant experience</li><li>Strong organizational and time-management skills</li><li>Excellent written and verbal communication abilities</li><li>High proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and management systems.</li><li>Experience in church, nonprofit, or mission-based environments preferred</li><li>Bilingual (English/Spanish) required.</li></ul>Personal Attributes<ul><li>Warm, welcoming, and service-oriented demeanor.</li><li>Strong attention to detail.</li><li>Self-starter who can work independently and collaboratively.</li><li>Ability to maintain confidentiality and exercise sound judgment.</li><li>Ability to manage multiple tasks in a dynamic environment.</li><li>Commitment to the mission and values of Trinity Episcopal Cathedral.</li></ul>Physical Requirements<ul><li>Ability to work seated at a computer for extended periods.</li><li>Occasional lifting of light office materials (up to 20 lbs.)</li></ul>Pay: $25.00 per hourWork Location: In person
