1. Reason for existence:The administrative assistant provides accurate and timely processing of general administrative support to his/her department.2. Key result areas &amp; Key deliverables<ul><li>Follows-up all input delivered by relevant stakeholders and takes the necessary actions.</li><li>Keeps the ERP data-base up-to-date.</li><li>Collects, reads, shares, follows-up and files all relevant documents.</li><li>Creates and follows up a weekly and/or monthly planning.</li><li>Prepares invoices and PO&rsquo;s as per company procedures.</li><li>Has regular contact (by mail, phone,&hellip;) with all relevant internal and external stakeholders.</li><li>Create reports based on ERP data or other data regularly or upon request by the manager or supervisor.</li><li>Provides logistics support to the project team in respect to travel, transport and coordination of these arrangements</li><li>Carries out any other prevalent activities which can be reasonably demanded and/or which are necessary for the company and/or department</li></ul>Qualifications:<ul><li>Previous experience in a clerical or administrative role preferred</li><li>Strong organizational skills with the ability to prioritize tasks and meet deadlines</li><li>Excellent attention to detail and proofreading skills</li><li>Proficient in using Google Suite (Docs, Sheets, Slides) and other software applications</li><li>Proficient in using Excel, D365</li><li>Ability to transcribe notes accurately and efficiently</li><li>Strong communication skills, both written and verbal</li></ul>This position offers a competitive salary and benefits package.  Provide assistance to VR counselors in the provision of direct client services by assisting with the purchase of items needed for client&rsquo;s employment using an agency purchasing card.
 </li>
 <li>
 Receive visitors and answer telephone calls, determine purpose of visits and calls, furnish necessary information, take and relay messages and arrange appointments.
 </li>
 <li>
 Update, maintain, and provide information to clients and staff on the availability and utilization of community resources for financial aid, housing, transportation and job search assistance.
 </li>
 <li>
 Maintain case files and transfer case records through management information system.
 </li>
 <li>
 Request and document receipt of relevant medical, educational, and vocational information used in determining eligibility for vocational rehabilitation services.
 </li>
 <li>
 Write approved client authorization for services as directed by counselor or supervisor.
 </li>
 <li>
 Prepare documentation of client contact and follow up with counselor for case file.
 </li>
 <li>
 Assist counselor to arrange for provision of follow up services in accordance with approved individualized employment plans.
 </li>
 <li>
 Handle various remittances from vendors as they relate to client files and case service expenditures.
 </li>
 <li>
 Receive invoices for payment; review invoices for mathematical accuracy and dates of service; approve and process invoices for payment.
 </li>
 <li>
 Communicate with vendors and staff regarding discrepancy on invoices and take appropriate action to rectify the discrepancy.
 </li>
 <li>
 Other duties as assigned.
 </li>
 <li>
 Minimum of high school diploma or GED.
 </li>
 <li>
 One year of work experience or training in customer service and business office practices preferred.
 
 
 </li>
 </ul>
