<div>Job Purpose:

The Surgery Scheduler, ASC is responsible for adding cases to the surgery schedule, confirming the completion of verification of benefits, and determining patient insurance eligibility. The scheduler ensures all necessary equipment, staffing, and ancillary needs are fulfilled with the ASC leadership team. The scheduler is cross-trained to help in other functions within the business office. 


Primary Duties and Responsibilities:
<ul><li>Schedules ASC surgical cases based on patient needs and established protocols</li></ul>
<ul><li>Enters surgeon block times into EMR. Monitors and maintains block times.</li></ul>
<ul><li>Verification that CPT-codes and planned procedure are accurate within all EMR platforms while working with clinical teams to update as needed</li></ul>
<ul><li>Verification of preference card confirming accurate information, working with the materials manager to get proper instrumentation for the case</li></ul>
<ul><li>Communicates to the Pre-op/PACU charge nurse, OR charge nurse, Anesthesia, and patient benefits manager for same-day and next day cases, scheduling conflicts, and any patient problems</li></ul>
<ul><li>Coordination of cases with Pre-op PACU and OR Charge nurse to prevent staffing and equipment conflicts</li></ul>
<ul><li>Enters and ensures demographic information is correct across multiple EMR systems.</li></ul>
<ul><li>Notates insurance information and verifies the information matches patients&rsquo; insurance cards</li></ul>
<ul><li>Takes calls from office staff, physicians, and anesthesiologists and assist with questions or requests</li></ul>
<ul><li>Monitors surgery schedule to ensure proper case order, considering position, comorbidities, transportation, and time requests</li></ul>
<ul><li>Daily communication with the anesthesiologists for schedule updates, times, changes, and any other requests that have been directed to anesthesia from clinic, patients, or providers</li></ul>
<ul><li>Run monthly reports and complete numbers for state reporting and provide quarterly reports of OR availability for clinical managers</li></ul>
<ul><li>Receive calls from outside patients, family members, reps, and vendors</li></ul>
<ul><li>Confirms with all offices for the next day&rsquo;s cases and confirms all patients/times</li></ul>
<ul><li>Publishes and distributes a daily surgery schedule and surgical log for all departments concerned</li></ul>
<ul><li>Cross-Trained in all functions of the ASC Patient Coordinator/Receptionist role to cover as needed</li></ul>

SUMMARY

ESSENTIAL DUTIES AND RESPONSIBILITIES

<li>Schedules office- and hospital-based medical procedures for patients with appropriate provider and time/location slot, utilizing appropriate scheduling code.</li>
<li>Check every patient chart for insurance benefits, prepare a cost summary and counsel patients regarding finances.</li>
<li>Counsel patients for Physician Fee and Eye Surgery Center.

<li>Schedules diagnostic and imaging tests to be completed at PMG.</li>
<li>Schedules office- and hospital-based medical procedures, tests and imaging ensuring available time is utilized to maximum efficiency.</li>

<li>Enters notes/special instructions needed for scheduling in the Electronic Medical Record (EMR).</li>
<li>Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider.</li>

</li><li>Refers conflicts and procedural questions to Practice Manager or designee as they arise.
</li><li>Attends required meetings and participates in committees as requested.
</li><li>Cross-trains as back up to other business office positions as requested.
</li><li>Performs other general duties as assigned.
</li><li>Maintain surgery logs or other required practice or case tracking logs.
</li><li>Supports and adheres to all company and practice policies and procedures.
</li><li>Supports and adheres to HCA Code of Conduct, related Ethics and Compliance policies, and HIPAA requirements.
</li><li>Supports and adheres to personnel policies and programs which specify privileges and responsibilities of employment, including compliance with an adverse incident reporting system, quality improvement program, patient safety initiatives, and risk management program.
</li><li>Displays willingness to speak up about safety issues or change practices to enhance safety; asks for help when needed; enhances teamwork; follows the safety literature/policies
</li></ul>What Qualifications you will need:
<ul><li>High school degree preferred
</li><li>Minimum (1) year of experience in surgery scheduling experience is highly preferred. (i.e. ambulatory surgery center, hospital, doctors office) preferred.
</li><li>BLS may be required as per practice standard.
