The Tender Manager will be responsible preparing professionally compiled tenders for the scope around Data Center Infrastructure (including electrical distribution, power monitoring, and control) and Secure Power Infrastructure (UPS, PDU, Cooling). You will need to have a good understanding of finance and legal contracts. The compensation range for this full-time position applies to candidates located within the United States. Our salary ranges are determined by reviewing roles of similar responsibility and level. Within the salary range, individual pay is determined by several factors including performance, knowledge, job-related skills, experience, and relevant education or training. About the Position

The Bid Coordinator plays a critical role in supporting Energy Exemplar's growth by leading the coordination and submission of high-quality, compliant bid, tender, RFP, RFQ and RFI responses across the EMEA region. This position is responsible for managing the end-to-end tender process, ensuring all submissions are delivered accurately, professionally, and within strict deadlines.
Working closely with Sales, Subject Matter Experts, Legal, Finance, and Operations teams, the role drives the successful preparation of proposals, tender documentation, pricing schedules, contractual responses, forms, and supporting materials required to secure renewals of existing customers.

In addition to bid and tender management, the role provides commercial and sales support and coordination of post-award activities.

Primary Responsibilities

Bid &amp; Tender Management

<li>Serve as the primary point of contact for all RFPs, RFIs, tenders, and procurement requests for existing customers across the EMEA</li>

</ul><ul><li>Coordinate procurement activities, including vendor registration, due diligence questionnaires, compliance documentation, and customer procurement requirements.</li>
</ul><ul><li>Liaise with internal teams to facilitate successful project and licence activation following contract award.</li>
</ul><ul><li>Maintain accurate tender information within Salesforce CRM.</li>
</ul><ul><li>Work closely with Finance to support billing activities, monitor payments, and resolve invoice-related matters, in relation to tenders.</li>
</ul><ul><li>Post tenders assist with subcontractor agreements as applicable, including document preparation, contract administration, deliverable tracking, and invoicing coordination.</li>

Candidate Requirements &amp; Qualifications

Essential:

Jouw rol

Als tenderco&ouml;rdinator ondersteun en co&ouml;rdineer je aanbestedingstrajecten van begin tot eind. Jij zorgt voor overzicht, structuur en voortgang in het tenderproces en levert een belangrijke bijdrage aan de kwaliteit en effici&euml;ntie van onze inschrijvingen. Je werkt nauw samen met de tendermanager, inhoudelijk adviseurs en externe partners. De tendermanager is eindverantwoordelijk voor strategie en inhoud; jij bewaakt het proces en zorgt dat alles klopt en op tijd wordt ingediend.

Wat ga je doen?

Je werkzaamheden zijn gevarieerd en bevinden zich in het hart van het tenderproces:

Tenderdetectie en -selectie
<ul>
<li>Monitoren van aanbestedingsplatforms (zoals TenderNed en Aanbestedingskalender)</li>
<li>Signaleren en analyseren van relevante aanbestedingen</li>
<li>Opstellen van een eerste beoordeling (fit-gap analyse)</li>
<li>Voorbereiden en onderbouwen van go/no-go beslissingen</li>
<li>Organiseren en ondersteunen van interne overleggen</li>
</ul>
Tenderco&ouml;rdinatie en procesbewaking
<ul>
<li>Opstellen en bewaken van tenderplanningen</li>
<li>Co&ouml;rdineren van acties, deadlines en documentstromen</li>
<li>Organiseren van interne overleggen en strategiesessies</li>
<li>Bewaken van volledigheid en tijdigheid van inschrijvingen</li>
<li>Inrichten en beheren van tenderdossiers</li>

Administratieve en formele voorbereiding

<li>Verzamelen en opstellen van verklaringen en bewijsmiddelen</li>
<li>Controleren op eisen, uitsluitingsgronden en geschiktheidseisen</li>
<li>Afstemming over SROI-invulling</li>
<li>Ondersteunen bij samenwerkingen en contractvoorbereiding</li>

EMVI-ondersteuning
<ul>
<li>Ondersteunen bij het opstellen van EMVI-plannen</li>
<li>Redigeren en structureren van EMVI-teksten</li>
<li>Bewaken van consistentie, overtuigingskracht en klantgerichtheid</li>
<li>Toetsen aan beoordelingscriteria en scoringssystematiek</li>
<li>Je ontwikkelt je stapsgewijs richting het zelfstandig schrijven van EMVI-onderdelen</li>

Wat breng jij mee?

<li>HBO-/WO-werk- en denkniveau</li>
<li>Uitstekende beheersing van de Nederlandse taal, schriftelijk en mondeling</li>
