Dispel is seeking a highly organized Procurement Analyst to manage vendor onboarding and procurement workflow. This role drives follow-ups with vendors and internal stakeholders to ensure all required information, compliance evidence, and agreements are collected so vendors are onboarded smoothly. In addition, this position will assist with the accounts payable and accounts receivable functions ensuring accurate invoice processing and timely payments in support of overall financial operations.</p><p></p><p><br>
This is not a back-office processing role. You will be the primary point of contact for vendors navigating Dispel&rsquo;s onboarding process and the internal driver ensuring stakeholders and Security move at pace.</p><p><b>
Requirements</b></p><p><b>
Key Responsibilities</b></p><ul>
<li>
Intake new vendor requests and confirm the requester provides clear functional requirements, vendor justification, and quotes when applicable.</li>
<li>Classify each vendor into the appropriate tier (Tier 1-5) based on the vendor&rsquo;s access to Dispel systems, data and critically to operations.</li>
<li>Review Approved Vendor List to determine whether a request requires full vendor onboarding and route accordingly or if an existing relationship exists.</li>
<li>Maintain an onboarding tracker with owners, due dates, and status; run regular follow-ups.</li>
<li>Assemble and send complete document packages based on vendor tier including, where applicable: Non-Disclosure Agreements (NDA), Master Service Agreements (MSA), Cyber Security Requirements, etc.</li>
<li>Partner with Dispel personnel to manage redlines, approvals, and completion of security/compliance steps.</li>
<li>Prepare vendor evaluation packages for the Vendor Selection Board, including compliance summaries, cost comparisons, etc.</li>
<li>Track and manage &amp; document vendor disqualification, as well as documenting the rationale for the decision.</li>
<li>Serve as the procurement point of contact when a vendor experiences a security incident &amp; coordinate with Security to assess contract obligations &amp; remediation timelines.</li>
<li>Support the accounts payable operations ensuring accurate, timely invoice processing and payment execution.</li>
<li>Assist with the full cycle accounts receivable process including billing, collections, and customer account management.</li>

Operating within a Finance Shared Services environment, this role plays a key part in ensuring clean, compliant, and standardized vendor data to support seamless global Procure-to-Pay operation and ensures compliance with corporate travel policies, supports timely reimbursement, and provides operational support for global employee travel &amp; expense activities.</div>
Responsibilities:
<ul><li>Process new vendor onboarding requests for multiple regions (India, US, EMEA) in Oracle Financials, ensuring alignment with global standards and local statutory requirements</li><li>
Review and validate vendor documentation, including W-9, W-8BEN, GSTIN, PAN, VAT, IBAN, SWIFT, and other region-specific compliance requirements</li><li>
Coordinate with Procurement, Business Units, and Compliance teams to ensure all necessary validations and approvals are obtained</li><li>
Assign appropriate supplier sites, payment terms, tax classifications, and banking information based on country-specific rules.</li><li>
Execute updates for vendor master changes including address, bank details, contact information, and payment methods</li><li>
Ensure master data accuracy, completeness, and consistency in Oracle across entities and geographies. Maintain audit trails and support documentation in accordance with SOX controls and internal policies.Support internal/external audits and respond to audit queries with complete documentation</li><li>
Review and process employee travel and business expense claims in Oracle iExpenses / Oracle Financials Cloud</li><li>
Validate supporting documentation (e.g., receipts, boarding passes, invoices) for accuracy and policy compliance.</li><li>
Ensure appropriate approvals and cost center coding in line with company policy</li><li>
Identify and reject non-compliant claims with appropriate justification and communication to employees</li><li>
Apply company T&amp;E policy and local tax regulations. Flag exceptions, potential fraud, or duplicate claims and escalate as needed. Prepare and maintain records for internal control testing and audit readiness</li><li>
Respond to employee queries via email or ticketing platforms (e.g., ServiceNow, Zendesk) in a timely and professional manner. Liaise with HR, Payroll, and Business Units to resolve discrepancies or escalations. Support the T&amp;E month-end close and reconciliation of clearing accounts</li><li>
Ensure timely execution of requests in line with defined SLAs and KPIs</li><li>
Maintain detailed SOPs and contribute to process standardization across regions</li><li>
Assist in transitions, migrations, and system enhancement projects including automation or RPA</li></ul>
Qualifications:
<div><ul><li>Bachelor's Degree in Commerce, Finance or related fields - Required</li><li>
3 years of experience in Vendor Master operations, including global vendor onboarding, TE process within a Finance Shared Services / GBS setup.</li><li>
&bull;Strong functional knowledge of Oracle Financials and vendor master modules. &bull;Familiarity with global tax identifiers and compliance norms (e.g. GST, TDS, PAN, W-9, W-8BEN, VAT, IBAN, SWIFT) &bull;Strong Excel skills and experience using ticketing/workflow tools (e.g. ServiceNow, Freshdesk, JIRA) &bull;Excellent communication and coordination skills with cross-functional and international teams &bull;Exposure to master data/ TE transition &bull;Worked on ERP preferably Oracle Financials &bull;Demonstrates analytical skills &bull;Data audit, good written English communication skills &bull;Customer service, problem resolution, attention to detail</li></ul></div>
