Job Summary
We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our office operations, providing exceptional administrative support, managing communications, and ensuring smooth daily functions. Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, screen calls, take messages, and handle inquiries efficiently
  • Maintain accurate data entry, filing systems, and document proofreading to ensure information accuracy and accessibility
  • Schedule appointments, coordinate calendars, and organize meetings using Microsoft Office and Google Workspace tools
  • Provide customer support through excellent phone etiquette, addressing client needs promptly and courteously
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software for basic financial recordkeeping
  • Support office management tasks such as supply inventory, filing, and maintaining a clean, organized workspace

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Strong typing skills along with attention to detail for proofreading documents and managing correspondence
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience in customer service roles with excellent phone etiquette and interpersonal skills
  • Knowledge of multi-line phone systems, filing procedures, calendar management, and basic bookkeeping (QuickBooks preferred)
  • Prior experience as a medical or dental receptionist or personal assistant is a plus but not required
