Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
- Answer and route multi-line phone systems efficiently, demonstrating excellent phone etiquette and customer support skills
- Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
- Coordinate calendar management, scheduling appointments, meetings, and reminders with precision
- Handle office management tasks such as supply inventory, equipment maintenance, and general administrative duties
- Support bookkeeping activities using QuickBooks or similar accounting software for accurate financial record-keeping
- Provide bilingual assistance when needed to accommodate diverse client and staff needs
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Demonstrated clerical experience including data entry, filing, proofreading, and document management
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Experience with office management tasks such as calendar coordination, supply ordering, and record keeping
- Knowledge of multi-line phone systems and front desk operations
- Bilingual abilities are highly desirable for effective communication across diverse audiences
- Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows
