Macintosh Heating & Air in Marble Falls, Texas, is seeking an energetic and highly organized Secretary to join our growing team! In this crucial role, you will be the backbone of our office operations, providing exceptional administrative support, managing communications, and ensuring smooth daily workflows. Your proactive approach and outstanding organizational skills will help keep our office running efficiently while delivering top-notch customer service. This paid position offers a fantastic opportunity to develop your office management expertise in a fast-paced, growing HVAC environment. Pay for this role will be based on experience, ranging from $19 to $22 per hour, including bonuses and commissions earned throughout the position.

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed
  • Maintain accurate data entry records using Microsoft Office, Google Workspace, and other office software tools
  • Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information
  • Support calendar management for executives or team members, scheduling appointments and coordinating meetings
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Provide customer support by addressing inquiries promptly and professionally, whether in person, by phone, or via email
  • Support HVAC office-specific needs, welcoming applicants with prior experience in the AC industry or HVAC office environments

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Experience in the HVAC industry or a related AC office environment is highly preferred, but not mandatory
  • Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Experience with multi-line phone systems, calendar management, and professional phone etiquette is essential
  • QuickBooks or similar accounting software experience is required
  • Demonstrated customer service skills with a friendly demeanor and professional communication style
