About the Position
We are seeking a dependable, organized, and professional Secretary / Administrative Assistant to support daily office operations and help keep our team running smoothly. This position also includes light graphic design responsibilities, making it a great fit for someone who is detail-oriented, creative, and comfortable assisting with basic marketing and design-related tasks.
The ideal candidate is friendly, organized, able to multitask, and communicates clearly with clients, vendors, and team members.
Responsibilities
- Answer and direct phone calls, emails, and general inquiries
- Greet visitors and provide professional front-office support
- Schedule appointments, meetings, and calendar updates
- Prepare, edit, file, and organize documents, forms, and correspondence
- Maintain accurate records, spreadsheets, and office files
- Assist with data entry, mailings, and general clerical tasks
- Order office supplies and help maintain an organized workspace
- Support management and staff with sales and administrative projects as needed
- Assist with light graphic design projects such as forms, presentations, and digital signage
- Make minor updates to existing design files, layouts, and templates
- Maintain consistency with company branding across documents and marketing materials
Qualifications
- Previous office, administrative, or customer service experience preferred
- Strong written and verbal communication skills
- Excellent organization and attention to detail
- Proficiency with Microsoft Office, email, and basic computer systems
- Basic design sense and willingness to assist with light creative projects
- Adobe Creative Suite experience is a plus
- Ability to multitask and prioritize work in a busy office environment
- Professional phone etiquette and customer service mindset
- Reliable, punctual, and able to work independently as well as part of a team
Preferred Skills
- Experience with HubSpot CRM software
- Familiarity with office equipment such as printers, scanners, and phone systems
- Basic knowledge of Adobe Illustrator, Photoshop, InDesign, or Canva
- Ability to take initiative and solve problems efficiently
- Comfortable proofreading and checking documents for accuracy and consistency
