Responsibilities

  • Manage and coordinate all aspects of bid preparation, including document collection, proofreading, and formatting to ensure accuracy and professionalism
  • Serve as the primary point of contact for bid-related inquiries, providing prompt and courteous customer support via phone and email
  • Maintain organized filing systems for bid documents, contracts, and correspondence using digital tools such as Google Workspace and Microsoft Office
  • Schedule and manage calendar appointments, deadlines, and meetings related to bidding activities with precision and efficiency
  • Support the team with clerical duties including proofreading documents, managing correspondence, and ensuring timely submission of bids

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for document creation, editing, and collaboration
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Excellent typing skills coupled with high computer literacy for data entry and document management
  • Exceptional customer service skills with professional phone etiquette and a friendly demeanor
  • Strong proofreading skills to ensure all bid documents are accurate and error-free
  • Effective time management skills to meet strict deadlines consistently
  • Prepare and submit project bids, proposals, and quotations
  • Review project specifications, drawings, and requirements
  • Coordinate with project managers, estimators, and suppliers to gather pricing and technical details
  • Maintain and update a database of costs, vendors, and past bids
  • Ensure all bid documents meet client requirements and deadlines
  • Track bid status, follow up on submitted quotations, and record outcomes
  • Communicate with clients regarding clarifications, addendums, and submission details
  • Organize and maintain all bidding-related documentation and records
  • Monitor bid opportunities from portals, emails, and other sources
