RESPONSIBILITIES:

Provides a broad range of secretarial and administrative functions to professional and management staff. Performs a variety of tasks including answering and screening calls, using multiple computer applications to prepare various documents, and maintaining record systems. Maintains confidentiality; provides support to family court; covers other secretarial areas as needed. Essential functions include but are not limited to:

1. Sets up and types correspondence, referee reports, bench warrants, court orders, general reports, income withholding orders, adjournment notices, hearing lists and other documents unique to the office of the Friend of the Court. May require the extraction of information from case or project files, computer systems or other sources.
2. Prepares and processes forms and documents requiring knowledge of departmental procedures and which may include extracting and summarizing information from several sources.
3. Answers inquiries of visitors and telephone callers regarding departmental procedures, schedules, case information and other matters. Pulls files as necessary to respond. Reviews complaints and obtains necessary information, provides case and procedural information, and refers to other staff as necessary. Assists clients in completing forms.
4. Reviews incoming correspondence from U.S. mail, e-mail and other web-based sources, and determines proper destination, may include drafting a response for supervisory signature.
5. Schedules appointments, interviews and hearings. Maintains and updates calendar for Referees, Judges, and other Friend of the Court staff. Assists in coordinating schedules for Referee hearings with parties represented by attorneys.
6. Establishes and maintains office filing systems including maintaining cross-index reference files and periodically purging file materials. Maintains “tickler” files for specified transactions.
7. Assists with office administrative functions by reviewing income invoices and providing accounts payable with supporting documentation, ordering and inventory of forms and supplies, and scheduling and recording office equipment maintenance. May assist with time sheets and payroll processing.
8. Performs data entry for various purposes. Enters data to computer for attorneys, clients and others in calculating child support figures to obtain a child support amount.
9. Assists with the coordination of FMN/Smile Program.
10. Prepares exhibit markers for exhibits being offered into evidence and maintain exhibit log for transcript.
11. As needed, balances MICSES reports to daily receipts, including finding errors in daily receipting for individual batches, and follows the MICSES daily work flow process. Performs MICSES reconciliation processes including but not limited to, preparing bank deposit and processing EFT monies, credit card payments, and any other debit or credits to the FOC Child Support bank account. Takes deposit to the bank. Contacts bank and clients regarding NSF checks and monitors collection of same. Makes NSF referrals to Prosecuting Attorney as required. Collects associated NSF fees. Reconciles bank statements. Prepares and processes fee checks received from MISDU.
12. Mandated reporter for CPS.

QUALIFICATIONS:

Education: High school graduation or equivalent. College level coursework less than an Associates Degree in word processing, writing skills, law, paralegal or related areas.

Experience: Two to three years of secretarial experience, preferably in a legal or Friend of the Court capacity. May require experience and training in various computer software and equipment. Proficient computer and typing skills with the ability to type 45 wpm is preferred.

Other Requirements: Court recorder certification preferred.

WEEKDAY SCHEDULE; BENEFITS EFFECTIVE DATE OF HIRE!

This is a non-union, non-exempt level position with excellent benefits, including health, life, disability, paid time off and paid holidays, effective date of hire!

Benefit eligible employees opting out of the County's Health Plan with proof of other coverage qualify for a $3,000 Cash-In-Lieu of Insurance benefit paid bi-weekly at the rate of $125.

Pay: $20.72 - $23.33 per hour
