The Role
We are seeking a highly organized and proactive Secretary to support the Managing Director of our dynamic organization specializing in Oil & Gas, Mechanical Services & Marine Repair services industries. The ideal candidate will play a pivotal role in ensuring efficient management of the director's schedule, communications, and administrative tasks to facilitate smooth operations and contribute to the company's success. Responsibilities: - Provide comprehensive administrative support to the Managing Director, including managing calendars, scheduling appointments, and coordinating meetings. - Act as the primary point of contact between the Managing Director and internal/external stakeholders, handling correspondence and communications professionally. - Prepare, review, and manage reports, presentations, and documents related to various projects and company activities. - Coordinate and organize travel arrangements, accommodation, and itineraries for the Managing Director as needed. - Maintain confidentiality of sensitive company and executive information at all times. - Assist in organizing company events, board meetings, and other corporate functions. - Manage incoming calls, emails, and inquiries, ensuring timely responses and appropriate delegation - Monitor and follow up on action items arising from meetings and client communications.

Requirements
  • Proven experience as an Executive Secretary or handling a Sales & Marketing role, preferably in the Mechanical, Oil & Gas, or Marine Repair industries. - Excellent organizational and time-management skills with a keen attention to detail. - Strong communication skills, both written and verbal, with a professional and courteous demeanor. - Ability to handle confidential information with discretion and integrity. - Proficiency in Advanced MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management tools. - Ability to multitask and prioritize work effectively in a fast-paced environment. - Fluent in English, Hindi, knowledge of Arabic is an advantage. - Strong interpersonal skills and the ability to work collaboratively with diverse teams. - High level of initiative and problem-solving ability. - Flexibility to adapt to changing priorities and urgent requests.
