Job Summary
We are seeking a dynamic and highly organized Secretary/Administrative Assistant to join our team! Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems to handle incoming calls efficiently, transferring calls and taking messages as needed.
- Perform data entry, maintain accurate filing systems, and organize documents both physically and electronically using tools like Google Workspace and Microsoft Office.
- Schedule appointments, coordinate calendar management for executives or team members, and organize meetings with precision.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Provide customer support by responding promptly to inquiries, offering assistance, and ensuring excellent service standards are upheld.
- Support office management tasks such as proofreading documents, managing supplies inventory, and maintaining a tidy workspace.
Requirements
- Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Strong typing skills along with attention to detail for proofreading documents and maintaining accurate records.
- Bilingual abilities are highly desirable to assist a diverse client base; fluency in additional languages is a plus.
- Previous experience as a receptionist—dental or medical—will be considered an asset, especially for roles requiring specific industry knowledge.
- Knowledge of phone etiquette standards, multi-line phone systems, calendar management, and customer service best practices.
