About the Role
We are seeking a highly organized and detail-oriented Accountant / Bookkeeping Specialist to join our growing team supporting U.S.-based clients. The ideal candidate will have strong experience in bookkeeping, financial reporting, account reconciliation, payroll processing, and managing day-to-day accounting operations. This position requires excellent knowledge of QuickBooks Desktop and QuickBooks Online, along with strong analytical and communication skills.
Key Responsibilities
General Bookkeeping & Ledger Management
- Maintain and update the General Ledger with accurate recording of daily financial transactions.
- Record journal entries, adjustments, accruals, and other accounting transactions.
- Ensure financial records are complete, accurate, and compliant with accounting standards.
Account Reconciliation
- Reconcile bank accounts, credit cards, loans, and other balance sheet accounts on a regular basis.
- Investigate and resolve discrepancies promptly.
- Maintain supporting documentation for all reconciliations.
Accounts Payable (A/P)
- Process vendor invoices and payments.
- Maintain vendor records and payment schedules.
- Monitor outstanding liabilities and ensure timely payments.
Accounts Receivable (A/R)
- Generate client invoices and statements.
- Track collections and follow up on outstanding receivables.
- Maintain accurate customer account records.
Payroll Processing
- Process bi-weekly and monthly payroll accurately.
- Ensure proper tax withholdings, deductions, and payroll compliance.
- Maintain payroll records and employee payment documentation.
Financial Reporting
- Prepare monthly, quarterly, and annual financial statements including:
- Income Statements (Profit & Loss)
- Balance Sheets
- Cash Flow Statements
- Assist management with budgeting, forecasting, and financial analysis.
- Generate customized financial reports as required by clients.
Technology & Process Management
- Utilize QuickBooks Desktop and QuickBooks Online extensively.
- Maintain accounting data integrity across multiple systems.
- Use advanced Excel and Google Sheets for reporting, analysis, and reconciliations.
- Identify opportunities to improve accounting workflows and efficiency.
Required Qualifications
- Bachelor's degree in Accounting, Finance, or related field.
- Minimum 1 year of bookkeeping/accounting experience supporting U.S.-based businesses.
Strong working knowledge of:
- QuickBooks Desktop
- QuickBooks Online
- Microsoft Excel (Advanced)
- Google Sheets
- Experience with bank and credit card reconciliations.
- Experience managing Accounts Payable and Accounts Receivable.
- Experience processing payroll and maintaining payroll records.
- Strong understanding of financial statements and accounting principles.
- Excellent attention to detail and accuracy.
- Strong written and verbal English communication skills.
- Ability to work independently during U.S. business hours (night shift).
Preferred Qualifications
- Experience with Xero, Gusto, Bill.com, Shopify, Amazon, or other cloud-based accounting platforms is a plus
- QuickBooks ProAdvisor Certification is a plus
- Experience working with CPA firms or U.S.-based accounting clients
- Familiarity with U.S. accounting practices and tax-related documentation.
