1. Job Summary
The Admin & New Store Project role is responsible for managing administrative operations and end-to-end execution of new retail store openings. This includes store setup, vendor coordination, project timelines, asset management, store maintenance, and ensuring brand standards for fashion & apparel outlets. The role ensures smooth administrative functioning across existing stores and timely completion of new store projects.
2. Key Responsibilities
A. New Store Project Management
- Plan, coordinate, and execute new store openings as per company’s expansion plan.
- Conduct site surveys along with Operations, VM, and Projects team.
- Coordinate with architects, interior contractors, carpenters, electricians, HVAC teams, signboard vendors, branding team, and IT team.
- Track project timelines, budgets, material requirements, and work progress.
- Ensure store layout matches brand guidelines for fashion & apparel (fixtures, trial rooms, cash counter, signage, branding).
- Monitor installation of fixtures, mannequins, product displays, shelves, lighting, CCTV, AC, and billing counters.
- Support statutory approvals (trade license, store registration, fire NOC, local permissions).
- Ensure store go-live on scheduled opening date.
B. Store Administration & Maintenance
- Manage day-to-day admin requirements of all stores (housekeeping, repairs, utilities, pest control).
- Maintain AMC contracts (AC servicing, CCTV, fire equipment, UPS, generators, electrical).
- Regular follow-up for store maintenance issues and ensure timely resolution.
- Track asset inventory (fixtures, computers, printers, mannequins, furniture).
- Monitor store infrastructure for upkeep, safety, and compliance.
C. Vendor & Procurement Management
- Identify and finalize vendors for construction, fixtures, printing, housekeeping, and maintenance.
- Collect quotations, negotiate pricing, and prepare purchase requests.
- Approve and track material delivery for new stores (lighting, signage, racks, counters).
- Maintain vendor database and evaluate vendor performance.
D. Documentation & Compliance
- Maintain project documents, approvals, drawings, BOQ, quotes, invoices, and work completion reports.
- Support compliance requirements (fire safety, building permits, labour license, local regulations).
- Maintain contracts for rental agreements and coordinate for renewals.
E. IT & Infrastructure Coordination
- Coordinate IT setup for new stores (POS systems, printers, internet, routers, network).
- Ensure CCTV and security systems are installed and functioning.
- Manage access cards, biometric devices, computer systems, and hardware.
F. Cost Control & Budget Management
- Prepare project budgets for new stores in coordination with management.
- Monitor expenses and ensure projects stay within allocated budgets.
- Reduce operational overheads by optimizing vendor costs.
G. Cross-Department Collaboration
- Work closely with Operations, HR, VM, Purchase, IT, Finance, and Marketing teams.
- Coordinate with HR for manpower readiness for new store opening.
- Support VM team during store setup for merchandise display standards.
3. Skills & Competencies
- Strong project management and coordination skills.
- Knowledge of retail store infrastructure and fittings (fashion apparel-specific).
- Vendor negotiation skills and cost management ability.
- Good understanding of store layouts, branding, and retail workflow.
- Strong communication and documentation skills.
- Proficiency in MS Office, project tracking tools, and email communication.
- Ability to manage multiple sites and meet deadlines.
- Frequently to travel to all over Tamil Nadu & other States
4. Qualifications
- Bachelor’s degree in Administration, Project Management, Civil/Interior Design, or related field.
- 5–8 years experience in retail admin or new store projects (fashion & apparel preferred).
- Experience in multi-store retail rollout is an added advantage.

Pay: ₹30,000.00 - ₹39,830.36 per month
