Job Description
We are looking for a detail-oriented and proactive Senior Document Controller to join our team in Dubai. This is a full-time, on-site position responsible for managing, organizing, and controlling all project documentation, ensuring accuracy, completeness, and timely distribution among project stakeholders.
The ideal candidate should have strong experience in document management systems, records control, and project documentation processes, with excellent attention to detail and organizational skills. Experience in construction, engineering, or environmental projects is a plus.
Key Responsibilities
- Manage and operate Document Management Software (e.g., Tijori – Wasl, ACONEX, ICONEX) to control and track all project documents and data.
- Classify, sort, file, and retrieve correspondence, records, and project documents as required.
- Log and redirect incoming and reviewed documents to the appropriate person or department.
- Maintain full control over document status, tracking, recording, and monitoring through comprehensive registers/logs.
- Prepare, update, and maintain all project documentation logs, including Transmittal, Technical Submittal, Material Submittal, Method Statement, Pre-Qualification, RFI, Shop Drawing, Correspondence, EI, and Claim logs.
- Receive signed and printed documents from originators for numbering, registration, scanning, dispatching, and proper filing.
- Ensure proper filing system and easy retrieval of hard copies of all outgoing correspondence.
- Prepare and submit submittals as required by project specifications.
- Maintain updated transmittal/submittal logs and track their progress.
- Assist Project Management Team with documentation requirements.
- Prepare standard project correspondence including cover letters, Minutes of Meeting (MOM), etc.
- Track subcontractor payment certificates and maintain a payment log.
- Create document templates for use by project personnel.
- Manage office stationery and maintain office equipment as needed.
- Ensure effective distribution and collaboration through clear communication and documentation processes.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Information Management, or related field.
- Minimum 7 years of experience in document control or project documentation, preferably in construction, engineering, or environmental sectors.
- Strong experience with document management software and records management.
- Knowledge of invoicing and payment processing and maintaining payment logs.
- UAE/GCC work experience preferred.
- Valid UAE driving license is an advantage.
