JOB TITLE: SENIOR EVENT DESIGNER
REPORTS TO: CREATIVE DIRECTOR
FLSA STATUS: EXEMPT OR FREELANCE

POSITION DESCRIPTION: Eclectic Hive is a boutique event design, production management, and rental house. We adopt a residential approach to our designs, curating moments for our clients that foster a personal connection. Specializing in guiding the design process, we offer expertise in room design, function, style, and flow. Additionally, we serve as a reliable inventory rental resource for our design and planning partners.

We are a collaborative team of professionals committed to crafting experiences that transcend conventional boundaries. Responsibilities of our Designer includes but are not limited to:

Creative Leadership & Event Design

· Lead the creative process for high-profile events, including conceptualization, mood boards, color palettes, material selection, furniture curation, lighting, graphics, and interactive experiences.

· Translate client goals and brand messaging into cohesive and immersive design concepts.

· Produce detailed floor plans, 3D renderings, and technical drawings for client presentations and production execution.

· Collaborate with fabricators, vendors, and production teams to ensure designs are buildable, safe, functional, and ensure alignment with design intent and quality standards.

· Conduct on-site inspections and evaluate venue logistics, restrictions, and opportunities to optimize design execution.

· Anticipate potential design and logistical challenges and proactively develop creative, cost-effective solutions.

Client Management

· Maintain professional and timely communication with clients via email, phone, and meetings.

· Attend client conference calls, pre-consultations, and planning meetings.

· Educate clients on scope of services, inventory, and design strategies within budget parameters.

· Manage client contracts, deposits, and invoices to ensure accuracy and completion.

· Conduct event follow-ups to assess client satisfaction and finalize billing activities.

Project & Production Management

· Oversee design project execution from inception through event completion, ensuring timelines, budgets, and quality standards are met.

· Collaborate closely with Project Managers to ensure cohesive turnover of design plans to onsite production teams.

· Assist Project Managers with preparing detailed production binders, schedules, and documentation for internal teams and vendor partners.

· Facilitate weekly production meetings, ensuring clear communication between creative, production, and production teams.

· Consult Project Managers on labor needs, truck and transport requirements, and on-site logistical challenges.

· Serve as on-site design lead during events, coordinating with production, warehouse, venue staff, and client representatives.

Collaboration & Mentorship

· Mentor junior designers and production team members, providing guidance, training, and constructive feedback.

· Foster a collaborative environment, ensuring cross-departmental alignment on design execution.

· Assist in developing internal processes, best practices, and knowledge-sharing initiatives within the creative team.

· Actively contribute to the growth of the company’s creative capabilities by suggesting new design trends, tools, and techniques.

Financial Management & Profitability

· Develop accurate event budgets and job costing, ensuring projects achieve company profit margin targets.

· Manage vendor contracts, pricing negotiations, and payments in coordination with accounting and production teams.

· Review and approve invoices related to assigned events, reconciling expenses and tracking against budgets.

· Identify opportunities to reduce costs without compromising quality, aesthetic, or client satisfaction.

· Review audits post-program with the leadership team to track billable discrepancies and monitor budget forecasting for each event.

· Submit credit card expenses to accounting in a timely manner.

Sales & Networking

· Identify and pursue opportunities to grow the client portfolio.

· Represent the company brand during client tours, networking functions, and industry events.

· Support company initiatives, sponsored events, and speaking engagements when needed.

Companywide Responsibilities

· Ensure adherence to company standards, policies, and procedures.

· Attend bi-weekly one-on-one meetings to share updates on workload, challenges, and accomplishments.

· Perform additional duties as assigned.

Qualifications

· Associate or Bachelor’s degree in Hospitality, Event Design, or a related field.

· 3–5 years of professional design experience.

· Experience with Canva, PowerPoint, Excel and Inventory management software preferred.

· Strong organizational skills and ability to manage multiple projects simultaneously.

· Meticulous attention to detail and commitment to delivering high-quality work.

· Proven ability to develop and maintain client, vendor, and team relationships.

· Strong communication skills and ability to convey ideas clearly to clients and internal teams.

· Forward-thinking, adaptable, and able to manage change effectively.

· Willingness to travel both domestically and internationally when requested.

· Must be eligible to work in the U.S.

Physical Demands & Work Environment

This role primarily operates in an office environment with travel to event locations as required. The employee may be required to remain stationary for up to 75% of the time and lift or move items up to 30 pounds occasionally. Vision capabilities must include close vision and the ability to adjust focus. Work may include nights, holidays, and weekends as needed to support event schedules.
