1. Job Purpose
To ensure smooth, efficient, and disciplined administrative operations by managing office facilities, supervising non-management staff, handling procurement, coordinating mess services, logistics, and implementing administrative policies.
2. Key ResponsibilitiesA. Office Management
- Maintain a clean, safe, and well-organized office environment.
- Supervise housekeeping, security guards, drivers, and support staff.
- Manage office supplies, stationery, and inventory.
- Ensure uninterrupted availability of utilities (electricity, internet, printers, equipment).
B. Administrative Operations
- Handle day-to-day administrative tasks and documentation.
- Maintain attendance records, staff movement registers, and visitor logs.
- Manage dispatch, courier services, and incoming/outgoing mail.
- Coordinate repairs, maintenance, and service of office equipment.
C. Procurement & Vendor Management
- Source vendors, negotiate rates, and obtain quotations.
- Prepare purchase requisitions and purchase orders.
- Monitor vendor performance and ensure timely delivery of goods/services.
D. Travel & Logistics
- Arrange transportation, hotel bookings, and travel itineraries.
- Maintain vehicle logbooks, fuel records, and driver schedules.
- Ensure proper upkeep and servicing of company vehicles.
E. Mess
- Oversee daily operations of the office mess.
- Ensure hygienic food preparation, serving, and cleanliness.
- Manage meal planning, quality checks, and cost control.
- Supervise mess staff including cook, helpers, and cleaning staff.
- Coordinate monthly mess accounts, billing, and supplies requisition.
F. Non-Management Staff Supervision
- Supervise and monitor support staff (housekeeping, office boys, drivers, guards, mess staff).
- Prepare duty rosters, assign tasks, and ensure discipline.
- Handle attendance, leave schedules, and performance issues.
- Conduct daily briefings and provide necessary guidance/training.
- Ensure compliance with safety, hygiene, and conduct standards.
G. Event & Meeting Coordination
- Organize internal meetings, trainings, and official events.
- Manage boardroom setup, refreshments, and logistic arrangements.
- Provide support during company-wide activities.
H. Policy & Compliance
- Ensure compliance with company SOPs, administrative guidelines, and safety protocols.
I. Asset & Facility Management
- Maintain inventory of office furniture, equipment, and assets.
- Coordinate facility maintenance, security systems, and emergency procedures.
- Monitor CCTV, access control, and overall office safety.

4. Education & Experience
- Bachelor’s degree (Business Administration preferred).
- 2–5 years experience in administration, mess management, or office operations.
