Senior Executive Administrative Assistant

Position Summary:

The successful candidate will be responsible for providing high-level administrative support and assistance to the Top Management to facilitate the efficient operation of the organization. Works closely with the Administration Area to ensure all purchases and business trips are handled as per guidelines.

Responsibilities:

  • Provides high-level administrative support and assistance to multiple executives, including President & CEO, Executive Vice President & COO & Vice President & CFO and other assigned leadership staff.
  • Manages executives’ calendar and keeps them updated.hedules meetings, and appointments for Sales personnel.
  • Handles confidential and sensitive information.
  • Provides full support to expatriate personnel, such as visits to:

SSA Office to process the Social Security Number,

Bank institution to open a checking/savings account

Driving school and DTOP offices to get learner’s driving license and driver’s license for new personnel from Japan with an assignment of more than one (1) year

Real estate agents to identify prospective properties for the expatriates’ personnel

  • Applies positive practice to monitor the status of duties given by the Executive Office to management to ensures compliance on a timely basis.
  • Greets and directs visitors, as and when appropriate; resolves routine administrative problems and answers routine employee inquiries. Applies intervention techniques for turning performance problems around into corrective actions.
  • Manages multiple projects and priorities. Dealing with problems involving several concrete variables in standardized situations.
  • Prepares materials, reports and presentations for meetings or other events as requested. Prepares personal letters, meeting minutes, thank you notes, and other documents such as Expense Reports, Travel Advance, Travel Insurance applications, etc. for Top Management).
  • Requirements:
  • Bachelor degree in Office Administration / Secretarial Sciences or related field in Business Administration.
  • Five (5) years of administrative experience
  • Bilingual (Spanish-English)
  • Computer Literate (MS Office: Word, Excel, PowerPoint & Outlook)
  • Excellent planning, organizational and time management skills,
