Position Summary

The Senior Executive Assistant & Executive Projects Coordinator serves as a trusted partner to the Chief Executive Officer by providing high-level executive support, managing strategic initiatives, coordinating organizational events, and facilitating internal and external stakeholder engagement. This position combines traditional executive assistant responsibilities with project management, community engagement, donor relations support, and organizational leadership functions.

The incumbent will manage the CEO's daily administrative needs while overseeing special projects that advance the mission and strategic priorities of B.A.R.E. Truth, Inc. This position serves as a key liaison between the CEO, Board of Directors, funders, community partners, donors, government agencies, and internal staff. The role requires exceptional professionalism, discretion, organizational skills, and the ability to represent the organization effectively in a variety of settings.

Essential Duties and Responsibilities

· Manage the CEO's calendar, travel, correspondence, scheduling priorities, and executive meetings.

· Prepare reports, presentations, agendas, meeting materials, and executive communications.

· Coordinate Board meetings, leadership meetings, and executive follow-up activities.

· Lead and coordinate special projects assigned by the CEO.

· Manage planning and execution of the annual B.A.R.E. Homelessness Symposium and other organizational events.

· Support donor cultivation, stewardship activities, sponsorship outreach, and community engagement initiatives.

· Represent the CEO at meetings, conferences, networking events, and community functions as assigned.

· Develop project timelines, monitor deliverables, and facilitate cross-departmental collaboration.

· Conduct research and prepare recommendations to support organizational decision-making.

· Maintain confidential records and sensitive organizational information.

· Support grant-related projects, reporting activities, audits, monitoring visits, and organizational initiatives.

· Perform other duties as assigned.

Supervision of Program Data and Participant Engagement Coordinator

· Provide direct supervision, coaching, and performance management.

· Oversee organizational reporting, participant success story collection, stakeholder communications, and engagement initiatives.

· Ensure accurate and timely collection, analysis, and presentation of program outcomes and performance metrics.

· Collaborate on impact reports, donor materials, symposium content, presentations, and community engagement efforts.

· Support strategies that elevate participant voices and highlight organizational accomplishments.

Required Qualifications

· Bachelor's degree in Business Administration, Public Administration, Communications, Nonprofit Management, or a related field. Equivalent experience may be substituted.

· Minimum five years of progressively responsible executive support, project management, administrative leadership, or nonprofit management experience.

· Experience supporting senior executives, board members, or organizational leadership.

· Strong written, verbal, interpersonal, organizational, and project management skills.

· Ability to maintain confidentiality and exercise sound judgment.

· Proficiency with Microsoft Office, Google Workspace, and virtual meeting platforms.

Preferred Qualifications

· Experience in nonprofit, housing, healthcare, government, or social service environments.

· Experience coordinating conferences, symposiums, fundraising events, or large-scale community events.

· Experience supporting donor relations, development efforts, or community engagement initiatives.

· Prior supervisory experience.

Physical Requirements

· Ability to sit, stand, walk, and work at a computer for extended periods.

· Ability to travel locally to meetings, events, and organizational sites.

· Ability to lift and carry up to 25 pounds.

· Ability to work occasional evenings and weekends.

Work Environment

This position operates in professional office environments, shelter programs, hotels, community settings, and event venues. Frequent interaction with staff, community partners, donors, government representatives, and individuals experiencing homelessness is required.

Salary Range

$72,000 - $82,000 annually, depending on qualifications and experience.

Pay: $72,000.00 - $82,000.00 per year
