Job Title: Senior Executive Assistant – Healthcare
Location: New York, NY
Duration: 10-Week Contract
Schedule: Monday – Friday, 9:00 AM – 5:00 PM
Guaranteed Hours: 40 Hours Weekly
Compensation: $40–$50 per Hour (W-2, based on experience and healthcare domain expertise)
We are seeking a highly organized and detail-oriented Senior Executive Assistant to provide high-level administrative support to senior healthcare leadership. The ideal candidate will possess exceptional communication, organizational, and multitasking abilities while supporting executive operations in a fast-paced professional environment. This role requires discretion, sound judgment, and the ability to manage multiple priorities while interacting with internal and external stakeholders.
- Provide executive-level administrative support to senior leadership and key stakeholders.
- Manage complex calendars, appointments, and scheduling priorities.
- Coordinate meetings, conferences, and executive events, including logistics and agenda preparation.
- Prepare, edit, format, and distribute reports, correspondence, presentations, and executive materials.
- Organize and maintain digital and physical filing systems.
- Handle confidential information with the highest degree of professionalism and discretion.
- Coordinate conference rooms, virtual meetings, and video conferencing platforms.
- Record and distribute meeting minutes, action items, and follow-up documentation.
- Assist with procurement-related administrative tasks and invoice tracking.
- Support executive reporting, presentations, and board-level materials.
- Serve as a liaison between executives, departments, vendors, and external stakeholders.
- Monitor deadlines, track deliverables, and ensure timely follow-up on executive priorities.
- Ensure compliance with organizational policies, data privacy standards, and information security requirements.
- Bachelor's Degree required.
- Master's Degree preferred.
- Minimum two (2) years of experience in executive or administrative support roles required.
- Experience supporting senior leadership within healthcare organizations, hospitals, or large corporate environments preferred.
- Experience managing executive calendars, meetings, and stakeholder communications required.
- Advanced proficiency in Microsoft Office Suite, including:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Access
- Strong written and verbal communication skills.
- Exceptional organizational and multitasking abilities.
- Ability to manage competing priorities in a fast-paced environment.

- Familiarity with procurement processes and vendor invoice tracking.
