1. Procurement execution: Execute day-to-day procurement activities, including sourcing, RFQ (Request for Quotation), negotiation, and purchase order creation. Ensure compliance with procurement policies and procedures while maintaining accurate documentation.
2. Supplier management: Maintain relationships with suppliers and vendors. Coordinate with them to obtain quotations, negotiate terms, and ensure timely delivery of raw materials. Evaluate supplier performance based on quality, delivery, pricing, and service and communicate feedback to the department head.suppliers.
3. Price and contract negotiation: Negotiate favourable pricing, terms, and contracts with suppliers to achieve cost savings while maintaining quality standards. Stay updated with market trends, price fluctuations, and industry dynamics to make informed purchasing decisions.
4. Purchase order management: Manage the creation, review, and tracking of purchase orders. Collaborate with internal stakeholders, such as production, warehouse, and finance, to ensure accurate specifications, quantities, and delivery schedules. Monitor and expedite orders as necessary.
5. Inventory coordination: Collaborate with the inventory control team to maintain optimal levels of raw materials. Monitor inventory levels, analyze consumption patterns, and coordinate with suppliers to replenish stock in a timely manner, avoiding stock-outs or excess inventory.
6. Quality control: Collaborate with the quality control team to ensure adherence to quality requirements for raw materials. Conduct regular quality checks, communicate any issues or non-compliance to suppliers, and work towards prompt resolution.
7. Data analysis and reporting: Analyze procurement data, such as supplier performance, pricing trends, and cost-saving opportunities. Prepare reports on key procurement metrics, cost savings achieved, and supplier performance for review by the department head.
8. Continuous improvement: Identify process improvement opportunities within the procurement function. Propose and implement process enhancements, such as streamlining workflows, adopting digital tools, or improving communication with stakeholders, to enhance procurement efficiency.
