Job Title: Senior Marketing Design Manager

Location: Sherman Oaks, CA
Position Type: Part-time (20 hours per week)
Schedule: Monday–Friday, 10:00 AM – 2:00 PM
Work Environment: On-site only (this is not a remote position)

Job Summary: The Senior Marketing Design Manager plays a key role in supporting the team’s marketing efforts. Approximately 50% of the time will be dedicated to designing new materials and content that align with company brand guidelines. The remaining responsibilities include ensuring smooth onboarding and offboarding of staff, maintaining accurate internal and external communications, supporting promotional activities, managing marketing platforms, placing ads both in print and online, overseeing daily social media engagement, managing the internal back-office intranet, and assisting with organizing events that boost team engagement and client outreach.

Key Responsibilities

Onboarding – Staff

  • Design materials and implement brand guidelines
  • Order business cards and thank-you cards
  • Implement email signatures
  • Add team members to the website
  • Design welcome announcements and distribute via email and local magazines
  • Update supplemental marketing materials and Equity Union flyers
  • Coordinate introductions at branch meetings, including preparing slides
  • Schedule headshots when needed
  • Set up profiles in internal and external platforms:
  • Internal Network (WIN)
  • HubSpot (including uploading existing clients, leads, and ongoing updates)
  • REA (assigning and maintaining leads and clients)

Offboarding – Staff

  • Remove profiles and headshots from the website, flyers, WIN, HubSpot, and REA
  • Work with leadership to reassign client and lead contacts as needed

Monthly Regional E-Newsletters

  • Design materials, which include research based on region
  • Use HubSpot to design and update regional newsletters for staff
  • Ensure accurate and timely distribution

· Monitor performance and address any deliverability issues

Social Media Engagement

  • Collaborate with the Social Media Manager to capture and create content
  • Engage daily across company platforms to support brand visibility

Event Support and Promotion

  • Assist with planning and preparing marketing materials for events
  • Manage RSVPs, attendee lists, and event reminders
  • Create attendee gift bags and coordinate event logistics
  • Capture and deliver event photos and videos for social media and marketing use

Quarterly Zoom Sessions

  • Promote and manage virtual events
  • Create marketing materials, manage RSVPs, and coordinate attendee communications

Internal Network Management (WIN)

  • Maintain user access and encourage team engagement
  • Keep the internal calendar current with events, birthdays, anniversaries, and team highlights
  • Post client success stories and positive feedback
  • Maintain an up-to-date catalog of marketing and promotional materials

Promotional Material Inventory

  • Monitor and manage inventory of printed marketing materials by branch
  • Coordinate the ordering and distribution of promotional items

Qualifications

· 2+ years of experience in marketing design, communications, or related field.

· Proficiency with HubSpot or similar CRM/marketing automation tools.

· Strong eye for design; experience with Canva, Adobe Creative Suite, or equivalent tools preferred.

· Excellent written and verbal communication skills.

· Highly organized with the ability to manage multiple priorities and deadlines.

· Creative mind with the ability to execute the plan

· Experience in real estate, escrow, or financial services is a plus.
