Overview
We are seeking a dynamic and highly organized Senior Office Manager to lead our administrative operations in all offices and ensure the smooth functioning of our office environments. This pivotal role combines strategic oversight with hands-on management of daily office activities and willing to travel to other offices when needed, fostering a productive, efficient, and welcoming workplace. Responsibilities

  • Oversee daily office operations of our offices, including front desk management, multi-line phone systems, and calendar coordination for staff and leadership.
  • Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a high-performing team.
  • Coordinate event planning efforts for meetings, company functions, and special events to ensure seamless execution from logistics to setup.
  • Manage vendor relationships, negotiate contracts, and oversee procurement processes to maintain cost-effective service delivery.
  • Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processing using QuickBooks or similar accounting software.
  • Maintain accurate bookkeeping and budgeting records; monitor expenses and prepare reports to support financial planning.
  • Oversee office supplies inventory, filing systems, and clerical tasks to ensure organized recordkeeping and efficient workflow.
  • Support medical or specialized office management needs as required, ensuring compliance with relevant policies and procedures.

Skills

  • Proven experience in office management with strong supervisory skills; prior experience in medical or specialized office settings is a plus.
  • Excellent communication skills with the ability to handle phone etiquette professionally across multi-line systems.
  • Exceptional organizational skills with attention to detail in scheduling, filing, and recordkeeping.
  • Proficiency in QuickBooks for payroll and bookkeeping tasks; familiarity with budgeting tools is desirable.
  • Strong event planning capabilities for coordinating meetings, trainings, and company events.
  • Knowledge of human resources practices including onboarding, training & development initiatives.
  • Experience managing vendor relationships and negotiating contracts effectively.
  • Ability to supervise teams efficiently while fostering a positive work environment focused on collaboration and growth.
