Shift Schedule: Monday–Friday, 9:00 AM – 5:00 PM

Work Location: 247 West 37th Street 9th Floor, New York, NY (Hybrid – Minimum 3 days onsite)

The Senior Payroll Specialist plays a critical role in ensuring the accurate and timely processing of payroll for JASA’s 50+ locations. Working closely with the Payroll Manager, you will oversee data validation, reconcile payroll prior to transmission, and resolve employee inquiries. This role requires high-level proficiency in ADP Workforce Now and Microsoft Excel to maintain the financial integrity of our social service mission.

What You’ll Be Doing

You will be responsible for the full lifecycle of payroll processing, ensuring compliance with union contracts, nonprofit accounting standards, and audit requirements.

Key Responsibilities:

• ADP Management: Enter and update all payroll data in ADP Workforce Now, including new hires, terminations, and assignment changes.

• Timekeeping & Verification: Review timesheets for accuracy; upload files from the ADP E-Time system and verify all necessary approvals.
• Financial Reconciliation: Reconcile payroll prior to transmission, validate reports, and calculate/prepare monthly union benefit payments.
• Cross-Departmental Collaboration: Work with HR on benefits changes, the Budget Manager on cost allocation, and Accountants on G/L interface issues.
• Reporting & Audits: Generate standard and ad hoc reports using ADP Custom Reporting tools; provide accurate data for internal and external audits.
• Employee Support: Resolve payroll-related inquiries professionally and promptly; collaborate with management to train employees on the ADP E-Time system.
• Compliance & Year-End: Support year-end processes, including W-2 preparation, and maintain archived reports for audit purposes.

• Leadership Backup: Serve as the primary payroll backup in the absence of the Payroll Manager.

What You’ll Need

• Experience: Minimum of 5 years of payroll experience required.

• Technical Expertise: Proficiency in ADP Workforce Now and Custom Reporting strongly preferred; advanced skills in Microsoft Excel are essential.
• Sector Knowledge: Experience with union contracts is preferred; familiarity with nonprofit accounting is a plus.
• Skills: Strong analytical, problem-solving, and organizational abilities with a high level of integrity for handling confidential data.

• Work Style: Proven ability to work independently in a fast-paced, deadline-driven environment while maintaining extreme attention to detail.
