POSITION SUMMARY: The Senior Program & Operations Coordinator provides senior-level executive and operational support to the Chief Program Officer while supporting program operations. Reporting to the Chief Program Office (CPO), this role helps track program activities, organize information, support data reporting, and improve processes. The ideal candidate is detail-oriented, comfortable working with technology and data. The position operates in a fast-paced environment.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
CPO Support

Provide senior-level administrative and coordination support to the CPO, including calendar management, meeting preparation, prioritization, and follow up.

Manage day-to-day administrative operations.

Help the CPO track priorities and action items.

Draft program updates and organize relevant information.

Handle sensitive information with professionalism.
Program Operations

Track program tasks, timelines, and deliverables.

Help organize program documents, tools, and standard procedures.

Support coordination of new initiatives and program changes.

Assist in identifying opportunities to streamline workflows using technology and data tools.
Data & Reporting

Collect and clean basic program data

Create simple reports, summaries, and charts to show progress.

Help prepare dashboards and updates for leadership meetings.

Assist with reports and documentation required by funders or audits.
Cross-Team Support

Communicate with programs, operations, and administrative staff to share updates and gather information.

Prepare agendas, briefing materials, reports, dashboards, and internal communication for CPO.

Support special projects that involve multiple teams.

Engage in community outreach events when needed.

Support organizational translations, restructuring, and change initiatives.
QUALIFICATIONS:

A minimum of 2-3 years of experience in executive support, program coordination, operations, or related roles

Demonstrated experience supporting senior leadership in a fast-paced, high-demand environment.

Strong technology skills; comfortable working with data and reports, spreadsheets, and systems.

Proven ability to rapidly pivot between competing priorities with little or no advance notice (required)

Exceptional organizational skills, discretion, and professionalism
EDUCATION, SKILLS, AND EXPERIENCE:

Bachelor’s degree required.

Master’s degree preferred.

Experience with SQL, business intelligence (BI) tools (e.g., Power BI, Tableau), or similar platforms

Experience in nonprofit, healthcare, aging services, or other regulated environments
PHYSICAL REQUIREMENTS OF THE JOB:

Ability to lift and carry objects frequently weighing up to 10 to 15 pounds.

Ability to climb stairs.

Ability to travel to the community to perform visits at consumers’ homes.

Work requires regular standing, stooping, and bending.
