About the Role

Reporting into the Executive Publisher, the Editorial/ Publishing Assistant must be able to analyze incoming calls/e-mail and provide any necessary feedback and troubleshoot any problems that may arise in the Publisher’s absence. S/he must be flexible and able to prioritize, organize and coordinate work assignments and to determine the most efficient way to accomplish each task.

As part of the role Editorial/ Publishing Assistant would be responsible for:

  • Handling non-strategic issues to maintain journals: update internal systems for metadata, request checks and keep records, maintain Editorial Board addresses
  • Monitor peer-review tool reports to regularly provide updated data analysis to the Publishing Editors
  • Under supervision of Publisher's, fulfilling Editor-in-Chief and co-publishing partner’s needs
  • Be office point of contact when Publisher is traveling
  • Maintain large database about all Journals published by the team along with data of guest editors and editorial records for high-volume journals. These primarily include data entry, but also organize in a transparent way for use by others on the team
  • Proactively and efficiently handle administrative tasks, ranging from internal systems, group file sharing, journal recordkeeping, to creating management reports for team as needed
  • Maintenance of e-files via Team Drives, Google Docs and other databases
  • Attend meetings as required and maintain meeting notes
  • Support team in clearing articles pipelines, reducting turn-around-time and in meeting KPIs
  • Prepare materials for conferences, and board meetings, including assistance in PowerPoint presentations
  • Develop strong working relationships with colleagues across all departments to coordinate ongoing production, marketing, special sales, HR, conference, and other internal departments deadlines, keeping track of them, and broadcasting to CS team
  • Perform related duties as required

JOB REQUIREMENTS:

  • Bachelor’s degree with at least 2-3 years project management experience, or experience in either science publishing/ journal publishing
  • Important to have very good hold of Editorial Manager, and Web of Science analytics
  • Very strong computer skills required in MS Word, Excel and PowerPoint; database and other software to track projects across a portfolio of journals
  • Laser focus and attention to detail; exhibiting strong orgainzational and analytical skills are a must.
  • Ability to set own schedule as well as team schedule and follow up on multiple projects as appropriate.
  • Excellent written and oral communication skills; thorough knowledge of office procedures including efficient e-filing.
  • Flexibility and ability to work in a multi-cultural environment.
  • Resourcefulness and proactive problem-solving for fielding queries and directing authors/editors
  • Must be able to act diplomatically in representing Springer.
  • Excellent inter-personal skills
  • Capability to multi-task
  • Must be able to learn and adapt to new tools, technologies and internal workflows quickly.
